Activities and Responsibilities including but not limited to:
  • Manage daily calls and requests from guests, answering catering & events questions and coordinating with Catering & Events Manager accordingly
  • Regularly review upcoming events’ function sheet and have a thorough understanding of all requirements on upcoming scheduled events.
  • Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing and event security.
  • Requisition or obtain equipment and supplies needed for each event, ensuring that they meet customer expectations and requirements
  • Conduct site visits, including walk-in appointments in a professional manner, demonstrating full knowledge of property, products and services with the ability to tailor benefits to meet client needs
  • Confer with staff at a chosen event site to coordinate details.
  • Assist with creating floor plans for events
  • Assist with creating an inventory list for Banquet Event Orders (BEOs)
  • Inspect event room prior to the start of each function (check room setup, menu, service staff, etc.) to be sure it conforms to the function sheet.
  • Collect deposits as required prior to event.
  • Maintain records of event aspects, including financial details.
  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of customers, and resolution of any problems that arise.
  • Continually observe, direct and assist staff where necessary during the entire event.
  • Ensure that all the details as per the function sheet are performed.
  • Partner with store managers to prepare and post weekly schedules to ensure a sufficient number and appropriate skill levels of staff.
  • Provide special events staff with a copy of each function sheet to gain a thorough understanding of event specifications prior to the function.
  • Provide administrative support to Catering & Events Manager and assist on ad hoc projects as needed
Requirements
  • Ability to lift 50lbs.
  • Reasonable range of motion such as bending, stooping, standing, walking, stirring, lifting to complete physical tasks related to responsibilities.
  • Reliable and capable of working independently or following specific directives;
  • Positive attitude and work ethic;
  • Speak with others using clear and professional language;
  • Answer telephones using appropriate etiquette;
  • Prepare and review written documents accurately and completely;
  • Ability to handle confidential and sensitive information
  • Ability to handle multiple guests and operational demands with a high degree of professionalism, operating often with time sensitive deadlines;
  • Excellent multi-tasking skills with strong attention to detail and follow-through;
  • Proficient computer skills and knowledge
  • Ability to work a flexible schedule including nights, weekends and holidays
  • Passion and love for the food and hospitality industry.
  • Minimum of 1 year experience in events or similar role.
Working Conditions / Compensation
  • 35-45 hours a week;
  • Environment: Seasonal restaurants, as well as office and shows / events;
  • Compensation: Hourly $25
