Reports To: Director of Development, Major Gifts & Individual Giving
FLSA Status: Full-Time, Non-Exempt, 40 hours per week
Pay Rate: $26.00/hr
Approx. Start Date: November 1, 2023

Summary:
Our mission at the Ronald McDonald House Charities® of Southern California (RMHCSC) is to provide comfort, care and support to children and families in Southern California. To achieve our vision of creating a community where children and their families embrace life and healing with a sense of hope, enthusiasm and joy. RMHCSC operates seven Ronald McDonald Houses, three Ronald McDonald Family Rooms, and Camp Ronald McDonald for Good Times.
The Administrative Coordinator is part of a team that oversees the administrative support duties and supports the mission for the Los Angeles Ronald McDonald House (LARMH) while upholding the policies, procedures, and standards set by RMHCSC.

Responsibilities

Essential Duties and Responsibilities:
Admin Support:

  • Work with the RMHCSC finance department to reconcile monthly expenses and revenue, prepare and make deposits (use eDeposit system and go to the bank as necessary), accurately and in a timely manner.
  • Prepare check requests for invoices for the House and obtain the appropriate authorization signatures. Prepare monthly expense reports for self and other staff.
  • Maintain operations petty cash for guest services ensuring proper change is available.
  • Responsible for monitoring inventories of office supplies, collateral, postage, etc.
  • Support the Executive Director on matters relating to the LARMH Board of Trustees including scheduling meetings, preparing board documents for meetings and retreats, and maintaining board roster with current contact information.
  • Track donor and board birthdays/anniversaries and other special occasions, preparing cards for signing and mailing.

Development Support:

  • Ensure that all donations to LARMH are acknowledged and entered into Raiser’s Edge donor database in a timely manner.
  • Maintain record keeping of donor contact information in Raiser’s Edge donor database.
  • Support the Executive Director and Development Team with entering donor actions and notes into Raiser’s Edge donor database.
  • Generate Raiser’s Edge reports and mailing lists pertaining to the fund development mission.
  • Under the supervision of the Director of Development, Major Gifts & Individual Giving, assist with the day-of execution (and event day donation transactions), and reconciliation of special events that support the LARMH. These events include, but are not limited to, Walk for Kids, our annual Gala, and “third party” events.

Qualifications:

Education and Work Experience:
High school diploma; three years of administrative support in a customer service or nonprofit setting. Interest in doing meaningful nonprofit work – specifically with helping sick children and their families, is desired.

Knowledge and Skills:
Requires excellent attention to detail and superior time management skills. General knowledge and demonstrated experience with accounting procedures; ability to establish and maintain effective relationships with other management staff, volunteers, and the general public; ability to present facts and recommendations effectively in oral and written form.

Supervisory Responsibilities: None

Language Skills:

  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from a variety of constituent groups, including staff, board members, volunteers, and the general public.
  • Spanish-speaking abilities is a plus.

Computer Skills:
Microsoft Office Suite, Raiser’s Edge

Mathematical Skills:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
