GENERAL QUALIFICATIONS:
Sensitivity to the issues of aging, needs of the dementia resident/participant and elder population.
Ability to work as a team player, promoting good relations with managers, co-workers, families, residents and participants.
Ability to communicate clearly verbally and in writing.
Ability to be flexible with work assignments, other departments, and schedule changes.
Proficiency in computer and bookkeeping skills.
Associates or bachelor’s degree and three to five years of office management experience. Additional and directly related experience may be substituted for the degree requirement.
At least two years of supervisory experience.
At least two years of office billing experience.
Experience with payroll and other personnel related areas preferred.
Proficiency in Outlook, Windows, Microsoft Word, Excel, and Quick Books.
Previous experience with property management or other types of technology platforms are beneficial.
Excellent writing skills.
RESPONSIBILITIES:
Oversee the facilitation of new staff orientation.
Hire and supervise Receptionist and oversee all front desk operations.
Set-up and maintain personnel files per Rogerson Communities policy and EOEA regulations.
Manage the business office, which includes but is not limited to the telephone system, security system, security/access cards, office equipment and supplies.
Calculate timesheets and timecards to prepare payroll information for the accounting department.
Maintain records of sick, personal, and vacation time for all employees.
Review invoices and prepare payment authorization sheets on a timely basis.
Record and maintain accounts receivable records.
Prepare advanced billing invoices for Assisted Living residents and Day Program participants.
Responsible for monthly reconciliation for both Assisted Living and Day Programs.
Prepare monthly reports for the accounting department
Ensure daily bank deposits of all receivables.
Order and maintain office supplies.
Provide administrative support to the Executive Director.
