JOB SUMMARY:

Rocwell Investments seeks a highly organized and detail-oriented Office Manager to keep our office running smoothly and efficiently. This is an excellent opportunity to assist our Corporate Staff with diverse projects and provide general administrative support, and embark on a journey of continuous learning and growth. We’re a small company of less than 100 employees, so there’s ample room for personal and professional development. YOU WILL BE RESPONSIBLE FOR

Tasks may include, but are not limited to, the following:

  • Provides administrative support to ensure efficient office operations
  • Maintains physical and digital filing systems
  • Manage multiple inboxes, respond to emails and other digital queries and correspondence,creating folders and labels to categorize emails, color coding emails to make them easier to locate, and even deleting unnecessary emails or spam
  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors
  • Manage all mailing and packages and ordering
  • Respond to all guest reviews as quickly as possible, ideally within 24–48 hours
  • Manages calendars for senior staff
  • Drafts and edits letters, reports, and other documents
  • Inputs and updates information in databases and spreadsheets
  • Prepares meeting agendas and takes meeting minutes
  • Set up utility accounts for all new properties
  • Coordinates logistics for meetings, including room setup and catering
  • Uses word processing and presentation software to create and edit documents
  • Operates and maintains office equipment, including printers, copiers, and fax machines
  • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand
  • Research as requested and compile and summarize information for reports or presentations
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations
  • Ensures that deadlines are met and adapts to changing priorities
  • Presents a positive and professional image for the organization
  • Performs other related duties as assigned

WHAT YOU NEED TO BE MOST SUCCESSFUL:

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands-on experience with office machines (e.g., fax machines and printers)
  • Familiarity with email scheduling tools
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with the ability to suggest improvements.
  • High School degree: additional qualification as an administrative assistant or Secretary will be a plus

This Job Description allows the employee to perform additional duties and responsibilities as Rocwell Investments deems necessary.
