Rittenhouse Needlepoint is relaunching in August under new ownership and management. We are looking for motivated, enthusiastic and creative individuals to join the growing team. RNP opened in 2008 and has been an important space in the needlepoint industry. We are looking to expand awareness of the world of needlepoint and create a space where everyone is welcome to learn. Job Title: Customer Service Admin - Finishing Intake
Direct Reports: None

Summary: The Finishing Intake Associate is an essential member of the needlepoint community, especially at Rittenhouse Needlepoint. This role brings needlepoint to life by validating details of stitched canvases to ensure the final products become the client’s heirloom items. The finishing admin associate contributes to the success of RNP’s sales goals and acheives their goals through time management & planning, production standards and clear communication. Their work is the final representation of hours of work by the client and the rest of the RNP team.

Essential Functions:

Finishing Intake:

  • Open and process all inbound and outbound packages to/from the finishing department. Follow up with clients to confirm receipt of their projects and clarify & confirm details on each product.
  • Follow up on any errors or missing information. Make suggestions by using color theory and design as needed.
  • Creates and maintains finishing in take forms. Communicate template ideas with the manager and share feedback from client requests.
  • Work with the finishing team and leader to accurately estimate cost and time needed for custom projects.
  • Update all internal systems and follow up with outside vendors & clients. Manage the order mastersheet with up to date and accurate information. See that all information is input/updated in a timely manner. Secure approvals from clients throughout all stages of the process.
  • Follow up with the finishing team to ensure that projects are progressing through processes in a timely manner. Keep the client updated on progress and notified of any delays.
  • Display a high level of understanding of the color and fiber choices available for client thread pulls and fabric pairing. Make suggestions as needed when clients require assistance.
  • Execute all thread pulls requested by clients for their custom finished piece. Order any custom components.
  • Use hand & machine sewing techniques, wood blocking, gluing, stuffing and other techniques to create items like pillows, stockings, ornaments, bricks, framed panels, 3D items, gussets, fabric frames, etc. Clean, repair and restore client’s work as needed.
  • Contribute to the company’s sales objectives through consistent personal goal achievement and supporting the goals of the painting department.
  • Focus on metrics including personal productivity, support the department in tracking and achieving goals.

Customer service:

  • Bring the RNP mission and core values to life in the client experience.
  • Effectively communicate with clients and team members to consistently deliver a high quality product.
  • Bring ideas to the conversation about new product offerings and client requests to support company goals. Identify and partner with others on any client issues as they arise.

HR:

  • Partner with the team lead & other leaders in training others on all aspects of their job responsibilities including customer service, company history, product knowledge, and store operations.
  • Support in motivating others to foster a positive work environment that is a friendly, service-oriented atmosphere.
  • Attend team meetings.

Operations:

  • Ensure that all finishing directives are implemented according to company standards while fulfilling client requests.
  • Practice time management, planning, prioritizing and work independently to achieve goals.
  • Ensure all administrative responsibilities are completed promptly and accurately.
  • Support the office filing and in-store communication system.
  • Maintain a consistently clean and well-maintained workspace.
  • Support company safety and abide by local, state, and federal regulations.
  • Utilize maintenance checklists to validate that standards are consistently being met.
  • Identify and present operational issues and concerns with the manager.
  • Perform other duties as directed by the team lead or other leaders.

Inventory:

  • Ensure fabric and finishing supplies are stocked and replenished as needed.
  • Follow SOPs to ensure all supplies are accounted for with accuracy.

Requirements and Skills:

  • Previous experience in project management or customer service, as well as, art or design
  • Strong color sense and ability to color match
  • Ability to organize and prioritize
  • Proven ability of good listening, interpersonal, written, and oral communication skills, effective and timely communication, reflecting an appropriate sense of urgency.
  • Must be able to maintain a high level of decorum when handling clients.
  • Ability to problem solve and to offer solutions and ideas
  • Ability to build and maintain productive relationships with other team members and outside vendors.
  • Proficiency to learn required software programs including Google Workspace.
  • Strong work ethic with a commitment to achieving targeted objectives
  • Show enthusiasm, passion and care for clients and RNP
  • Interest in needlecrafts and understanding of RNP positioning within the craft world
  • Must have employment authorization to work lawfully in the United States.
  • Ability to perform tasks in a stationary position for an extended period during business hours, able to lift boxes/files of weights less than 25 lbs
