Role: Sales Administrative AssistantWe are seeking a passionate Sales Administrative Assistant to provide support to our sales and marketing teams. In this role, you will provide a wide range of administrative support. The successful candidate will support the sales staff in all administrative manners including assisting in the preparation of RFI/RFPs.Duties and Responsibilities:
  • Provide administrative support duties to the Sales and Marketing departments including calendar management, travel arrangement, and meeting scheduling.
  • Prepare numerous reports on sales activities.
  • Schedule, plan, and organize travel, meetings, and trade show activities.
  • Physical and electronic record keeping of agreements and proposals.
  • Analyze, track, and reconcile all departmental expenses and audit expense reports.
  • Handle appointment schedules and follow-up weekly/bi-weekly and monthly status reports.
  • Prepare analysis reports.
  • Ability to do research by state for grants, mandate laws, lists by state for the various components that make up our vertical markets, etc.
  • Arranges airline travel, hotel reservations, ground transportation and schedules appointments, conference calls, meetings for those assigned, as well as expense reports.
  • Prepares reports for measuring various business metrics, such as “average annual sales per salesperson or average sales per employee”. Other examples would be how many presentations to get a quote and how many quotes are needed to get a sale. 
  • Prepare CRM Pipedrive reports and activity management. 
  • Work with Executive leadership on generating reports, monitoring activity, and creating efficiencies within the Pipedrive CRM system.
  • Establishes databases of pertinent information for use in analyzing future plans and forecasts.
  • Partner effectively with the Sales and Finance departments to gather and chart trend line analysis of the business unit’s activities.
  • Coordinate, arrange, and participate in department functions such as training, conference calls, and departmental meetings. 
  • Maintain disciplined meeting formats for every meeting including:
    • Monitoring that only necessary people are invited to a meeting.
    • Pre-meeting agendas.
    • Making sure there are pre-meeting assignments.
    • Record action items.
    • Summarize action items at the end of the meeting.
    • Send minutes/action items to all the recipients.
    • Follow up on post-meeting action items prior to the next meeting.
  • Identify pre-meeting significant issues that require resolution or follow-up and take steps to make sure they are highlighted.
  • Provide online demonstrations of products.
  • Will be called upon to handle special projects.
  • Quoting Assistance. Assist with minor revisions, small quotes, etc.
  • Contract Administration. Assisting with the entire contract process including renewals, reporting, meetings, gathering information from respective departments, keeping a database of responses, etc.
Basic Requirements and Skills:
  • High School diploma; plus, additional educational experience or equivalent work experience with a high level of administrative / sales or operations assistant background. College degree preferred.
  • Must have excellent interpersonal and communication skills (verbal, written, and phone). 
  • Experience working in a high-paced environment requiring the ability to prioritize and organize; have a customer service orientation; self-directed and motivated. 
Desired Skills and Experience:
  • Planning and organization: Demonstrated ability to handle multiple projects and priorities and to show initiative. 
  • Expert-level knowledge of Microsoft Office: Word, Excel, PowerPoint
  • Intermediate to expert knowledge of Adobe, SharePoint, and social media
  • Experience organizing company meetings and events.
