We are seeking a professional, courteous, and organized individual to join our team as a receptionist. We are looking for someone who goes above and beyond and is a team player who will be willing to help everyone on the team to ensure the office is successful. As a receptionist, you will play a crucial role in creating a positive and welcoming atmosphere for all.
The ideal candidate will be the first point of contact for our company, providing excellent customer service to clients, visitors, and employees. You would be timely, have great communication skills, and would be a problem solver who can take some initiative to get tasks accomplished. If you are a focused hard worker and thrive in a fast-paced environment, this might be the right position for you.
Duties (subject to change):
· Open and close the office.
· Greet clients and answer the phone with a friendly and professional attitude.
· Manage incoming calls by transferring them to the relevant staff member or taking messages accurately and efficiently.
· Keep office supplies stocked and organized.
· Maintain a tidy and organized reception area, ensuring it reflects positively on the company's image.
· Order lunch for the office as needed.
· Provide administrative support to various departments as needed, including data entry, filing, and document preparation.
· Find various newspaper articles and email to the agents every morning.
· Handle and coordinate various office repairs as needed.
· Miscellaneous tasks as needed.
· Receive, sort, and distribute daily mail/deliveries. Send outgoing letters and packages via USPS and UPS
Requirements:
· Does not have to have experience in real estate but must have at least one year of proven experience as a receptionist, with references
· High school diploma or equivalent
· Excellent communication and interpersonal skills
· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.)
· Proficiency in Adobe Acrobat and/or Photoshop is preferred
· Strong organizational skills and attention to detail
· Ability to multitask and prioritize tasks effectively
· Professional demeanor and appearance
· Familiarity with office equipment, including printers, scanners, and a multi-line phone system is preferred
