The Sales & Catering Coordinator will offer administrative support through all aspects of Sales & Catering functions, as well as supporting the Sales Account and Sales & Catering Managers.
The primary responsibilities for the Sales & Catering Coordinator include but are not limited to:
• Answers general office sales and catering line in an efficient and professional manner, handling and directing calls as required.
• Takes detailed messages and handle specific requests appropriately for Sales and Catering Team when the manager is out of the office on business.
• As the designated “Lead Catcher” for the Sales and Catering Department, qualifying in-coming sales and catering leads ensuring that they are directed to the appropriate Sales Account or Catering Sales Manager.
• Conduct all sales and catering related interactions with the highest level of professionalism while establishing rapport with clients and function as a liaison.
• Assist with entering of group and catering bookings. Prepare proposal and contracts on behalf of the Sales Account and Catering Sales Managers, as required.
• Maintain organized records of all Catering accounts and to see that pertinent information is distributed to the necessary hotel personnel on a timely and accurate basis.
• Responsible for pass over definite contracts file process, ensuring all required documentation is in place and accurate prior to transferring the file to Catering Sales Manager.
• Ensure Banquet Event Orders and Group Resumes are accurate with all relevant information and distribute to all departments concerned on a timely basis.
• Manage Sales & Catering team calendar for PTO and events.
• Assists in organizing logistic for local client events, FAM trips, and sales trip/calls.
• Ensure all site inspections and client visits to the Hotel are successful by planning carefully and communicating accurate details in advance to all departments.
• Coordinate pre-conference and post-conference meetings.
• Produce and send information for social and corporate inquiries, contracts and proposals for pending events, general letters and correspondence.
• Perform daily office tasks including but not limited to copying, creating files, processing check requests, maintaining inventories of collateral, giveaway, office supplies, etc.
• Develop knowledge of all hotel departments, amenities, function space, food and menus.
• Responsible for special projects as assigned by the Director of Sales & Marketing.
Education:
Bachelor’s or Associate’s degree, preferably specializing in Hospitality, Business Administration, and or related major or equivalent experience is required.
Experience:
Must have at least one (1) or more years of related coordinator experience, with experience in Hospitality preferred.
In addition to performance of key responsibilities, this position may be required to possess a combination of the following skills and experiences:
• Strong Working Knowledge of Excel and PowerPoint.
• Must be able to communicate clearly with guests, customers, supervisor, and fellow employees.
• Superior communication (Written, Verbal, Presentation, Phone, etc.) and meeting skills
• Excellent organization and acute attention to detail.
• Must be proficient in Microsoft office, knowledge of CI/TY helpful.
• Ability to manages conflict effectively and work diligently to obtain a mutually agreeable solution.
• Must maintain a high degree of confidentiality.
• Ability to consistently display courtesy, etiquette, warmth and enthusiasm on the phone and in person.
• Superior time management and task prioritization.
• Ability to handle multiple and changing priorities in professional manner.
• Willingness to assist co-workers and guests beyond normal job duties.
