Job Summary
The role of the Administrative Assistant is to provide administrative support to ensure successful operations of the facility. Most importantly, this position will coordinate the logistics of all outbound shipments and maintain accurate records of inventory. This position will also serve as a point of contact for facility visitors and mange inbound calls. It will be expected to manage multiple tasks concurrently; strong time management skills and organization will be crucial for success.
Essential Functions
  • Answer and direct incoming calls using a multi-line phone system.
  • Greet and assist clients, vendors and other patrons; maintain visitor schedule and log.
  • Coordinate and manage tour groups.
  • Monitor office supply inventory for facility.
  • Prepare packing slips for customer shipments.
  • Review and process daily shipping via common carrier; communicate tracking details to clients.
  • Request quotes for LTL, freight, or courier shipping services.
  • Enter received inventory into ERP system, send documentation to corporate office.
  • Review general ledger accounts for accuracy and correct erroneous entries.
  • Reconcile shipping invoices.
The Ideal Candidate Will Offer: 
  • Basic knowledge of logistics management.
  • Proficient customer service skills.
  • Proficient data management skills.
  • Proficient computer literacy, including Microsoft Office and ERP system.
  • Demonstrate effective written and verbal communication skills to tactfully collaborate with team members.
  • Organize, prioritize and manage multiple medium complexity projects in a cross-functional environment.
  • Grasp intermediate to complex concepts, anticipate possible problems, and generate solutions with proficient problem-solving skills
  • Strong attention to detail and commitment to accuracy of work.
Education and Experience: 
  • High School Diploma or equivalent required. 
  • 2 years’ professional office experience required.
  • 1 years’ shipping experience preferred.
Work Hours/Travel:
  • 1st shift work schedule, Monday – Friday.
  • Remote work not available.
  • No travel required.
