Job Description:

proHNS LLC is seeking an Office Manager with an eye for detail and a high level of integrity. This position should expect to manage communications with vendors, clients, and internal departments, assist with preparing financial reports, manage A/R and A/P, invoice clients, make deposits, and generally ensure that office operations are running smoothly. You should be professional and courteous with strong computer skills and a basic understanding of accounting and financial principles. This position works closely with the remotely located Business Manager and similar positions, so an ability to communicate through Microsoft Teams and Outlook is essential. The position does not currently manage subordinate staff and reports directly to a proHNS Principal Engineer / Owner.

The selected candidate will work part-time, a minimum of 20 hours per week, Monday through Friday, at our Juneau Office located at 1945 Alex Holden Way Suite 101. Office hours are open to discussion but will follow a 9:00 am – 2:30 pm or similar schedule. Responsibilities:

  • Providing front desk reception including performing basic office tasks, such as answering phones, responding to emails, processing mail, filing, purchasing office supplies, arranging employee travel and lodging, etc.
  • Maintaining Accounts Payable/ Accounts Receivable including preparing checks, deposits, invoicing clients, employee expense tracking, employee timecard tracking, credit card reconciliation, budgets, and occasional financial reports.
  • Corresponding and coordinating company financials with proHNS’s third-party CPA firm and Business Manager.
  • Responding appropriately to vendor, client, and internal requests.
  • Abiding by all company procedures and accounting principles.
  • Additional duties as assigned by Manager.

Minimum Qualifications:

  • High School diploma or GED is required. Additional education is preferred.
  • Basic knowledge of general accounting procedures and principles.
  • 1-2 years experience in a professional office setting.
  • Computer literacy and strong typing skills, proficiency with Microsoft Word, Office, Excel, and Adobe Acrobat.

Physical Demands and Work Environment:

  • This job operates in a small, professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
  • While performing the duties of this job, the employee is regularly required to talk, hear, stand, walk, use hands and fingers, handle or feel, reach with arms, and sit.
  • The employee must occasionally lift and/or move up to 35 pounds.
  • Specific vision abilities required by this position include close vision and the ability to adjust focus.

Compensation:

  • Wage $30 - $40/hr. – DOE.
  • Eligible for annual performance bonuses.
