Pregnancy Care Center of Grants provides medical services, education, and resources that give value to human life, while offering hope and restoration. Established in 1988, the PCC operates as a trusted, community funded, faith-based, non-profit accredited medical clinic in southern Oregon. Services are provided free of charge to all, regardless of age, gender, marital status, race, sexual orientation, disability, or religious belief.

Objectives of the position: The Office Manager is responsible for the general management of the Grants Pass center office during business hours, compliance monitoring, and human resource activities. Will also assist the Executive Director with other tasks as necessary.
Reports to: Executive Director
Supervises: Receptionist
Qualifications:
  • Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord

  • Have a bachelor's degree or equivalent combination of education and experience (2 years in a relevant position)
  • Have a positive attitude and be able to tactfully remind others of PCC’s mission and why we’re here
  • Be able to carry out responsibilities with little or no supervision
  • Maintain confidentiality of all corporate, financial, and patient/client information
  • Able to comply with HIPAA laws
  • Computer skills: online interactions, database software, Excel, and Word
  • Must have reliable transportation and automobile insurance and be able to travel to Pregnancy Care Center in Cave Junction periodically
Responsibilities:
I. Administrative Support: 
  • Responsible for ensuring PCC staff can work efficiently by overseeing and assisting in administrative duties
  • Oversee, support, delegate tasks to, and provide job-specific training to receptionist
  • In collaboration with receptionist, order office supplies and other items as needed/requested by department leaders
  • Ensure that all public and common areas within medical center in Grants Pass are well-maintained and appear professional (e.g. waiting room, break room, bathrooms, etc.) as well as the surrounding property
  • Connect with vendors for office needs: oversee copy machine and center cleaning schedule and building maintenance, working with handymen and contractors
  • In collaboration with receptionist, assist with medical appointment administration and checking in and out of patients
  • Operate as a back-up receptionist as needed
II. Statistical Collection, Analysis, and Data Entry: 
  • Gather and maintain necessary data of PCC programs and services
  • In collaboration with receptionist, compile monthly and year-end patient/client statistical reports of programs and medical services and submit to the ED
  • Collect and compile external and internal statistics related to PCC services and patient/client demographics including as these relate to Quality Improvement (QI) studies
III. Operational Compliance
  • Research, understand, report on, and implement legal and other requirements which affect operations
  • Comply with federal and state regulations by monitoring and implementing legal and other regulations to protect employees, volunteers, and the organization
  • Monitor and report recall information related to medications, nutritional products, supplies, and equipment utilized within organization
  • Assist with reviewing and drafting policies, procedure instructions, job descriptions, forms, and other documents to meet legal and policy requirements including participating in annual review of Personnel Policy Manual, Emergency and Disaster Plan, and CQIP Plan
  • Oversee medical records coordination, ensuring clinical records requirements for accreditation are being met
  • Conduct ongoing tracking of specific activities and update accordingly to ensure compliance with legal and policy requirements
  • Monitor staff in need of licensure, credentialing, re-certification, and CPR certification to ensure regulatory compliance
  • Maintain all personnel files to ensure they meet accreditation guidelines
  • Responsible for conducting and maintaining all accreditation logs regarding HIPPA, safety, and emergency preparedness
  • Address policy questions, needs, and policy non-compliance (work with supervisors as applicable)
  • Interact with department leaders when needed regarding compliance and policies to assist the ED in maintaining a healthy flow of communication throughout the organization
  • Work with ED and supervisors to address staff complaints to achieve satisfaction and performance
IV. Safety and Risk Management
  • Act as Safety Officer in conducting safety inspections and ensure compliance with safety measures
  • Responsible for completing regular inspections and tasks at both Grants Pass and Cave Junction centers as specified in the Safety Management Program, Disaster & Emergency Preparedness Plan, Fire Preparedness Management Plan, Utility Management Program, Environment of Care Management, Infection Control Plan, and Risk Management Plan
  • Operate as the Coordinated Quality Improvement Program (CQIP) Coordinator, arranging quarterly Quality Improvement Committee (QIC) meetings, taking minutes for this and Medical Executive Committee (MEC) meetings, drafting Quality Improvement (QI) studies, and working with other QIC members to implement activities related to QI studies
  • Operate as OSHA Safety Officer/Coordinator; responsible for the development, implementation, and monitoring of the Safety Management Program
  • Act to ensure HIPAA and access compliance
  • Operate as the HIPPA Officer and ensure all employees/volunteers are trained in HIPAA compliance, staying up to date with all laws and policies
  • Ability to learn and have a working knowledge of medical records software
  • Monitor access to patient and client records for quality control
