ESSENTIAL DUTIES
The Sr. Mgr, Facilities, will work closely with the Senior Director of Safety, Security, and Facilities in the establishment of facility and workplace service levels and strategy for our portfolio of health centers and administrative offices. They are responsible for the consistent delivery and overall success of the facility & workplace services program.
Facility & Workplace Services Management – the daily delivery of facility & workplace services.
· Develop and implement standards and programs for the efficient and consistent delivery of facility & workplace services across the portfolio, including specialized plans to address potential issues or escalations.
· Monitor facility manager and contractors for appropriate preventative maintenance scheduling and completion.
· Ensure appropriate metrics, benchmarks, best practices, and service level expectations are set, communicated, and that all service requests are addressed efficiently and effectively.
· Coordinate the collection, analysis, and reporting by the facility management team of statistical data and analysis to provide accurate and current assessment of facility management objectives, work order productivity, cost savings and improvements. Review work order metrics and system to identify service gaps and recurring issues and provide corrective actions.
· Monitor and proactively ensure facility compliance with accreditation and regulatory standards, including all federal, state, and local laws, codes, and ordinances.
· Drive innovation through the development of best practices, operational and service efficiency as well as the identification of industry trends and tools that would contribute to our operational excellence goals.
· Review operating expenses and implement cost savings and reduce waste where possible.
· Identify, execute, and maintain compliance with requirements of lease agreements where applicable.
Vendor Management – the program is only as strong as your vendors (and the vendor management).
· Determine the scope and type of vendor workforce needed to meet established facility and workplace services needs and objectively select adequate vendors.
· Monitor vendor performance against contracted service levels and other key performance indicators and adjust where necessary.
· Timely respond to issues/concerns with vendor performance.
· Serve as primary contact between vendors and Planned Parenthood.
Administrative – all the pieces in between.
· Build, develop, and mentor team of facility managers, and ensure they are equipped with necessary tools and support.
· Maintain catalogs of facility equipment and supplies.
QUALIFICATIONS
Ability to perform the duties described above. A typical means of acquiring those abilities would be:
Knowledge & Skills
· Demonstrated knowledge of building and property inspection procedures.
· Demonstrated knowledge of Microsoft Word, Excel, Outlook, and PowerPoint; SmartSheet.
Education
· Associate degree required
· Bachelor’s degree preferred
· RPA or CPM designation preferred
Experience
· Minimum five (3) years in property management of commercial properties or health care facilities (hospitals or clinics).
· Two (2) years or more of multi-site facility operations in hospital, clinic, or laboratory settings.
· Two (2) years or more of supervisory experience.
· Valid driver’s license.
REQUIREMENTS
· This position requires up to 25% travel per week
· Travel may vary based on the needs of the organization
· This position is a hybrid role that will require regular on site visits to Health Centers or Administrative offices throughout the PPMM service regions of California and Nevada.
· Everything is centered around Pacific Standard Time; the working schedule must match PPMM operations.
· A high-quality and stable internet connection is required. Attending/hosting video conferences, accessing corporate networks and apps, etc. is required.
