Sr Clinic Manager, Practice Administrator

The Senior Clinic Manager provides the direction necessary to manage the day-to-day business operations of all AACI primary care and dental clinics including planning, clinic operations, outcomes and quality. This position is responsible for development and maintenance of systems to maximize operational productivity and continuous evaluation of business operations of health clinic, ancillary and patient support areas. Also has significant responsibility for quality improvement and regulatory compliance activities. This position supervises the Clinic Managers, Medical Assisting Lead/manager, Clinic Clerk and Referral Lead.

  • Responsible and accountable for the day-to-day operations of AACI clinics
  • Work with the Director of Health Services to establish performance expectations, communicate expectations to the Clinic Manager and leads, and delegate authority as appropriate.
  • Assist with defining and documenting performance and productivity standards, identifying and tracking effectiveness, business processes and operations metrics.
  • Identify and participate in continuous quality and service improvement initiatives working closely with the Quality Improvement Manager. 
  • Participate in policy/protocol development and implementation.
  • Ensure workflows are in place, and competency checklists are completed, reviewed, and modified as necessary.
  • Oversee daily staff assignments/tasks for proper coverage.
  • Communicate and monitor productivity goals for the team.
  • Assist or conduct audits to ensure quality patient care. (Conduct and monitor internal department audits)
  • Cultivate relationships with cross-functional operational stakeholders and partners across the organization to enhance team skills and performance.
  • Contribute knowledge and expertise in Clinical Transformation to cross-functional process improvement initiatives.
  • Identify potential areas of compliance vulnerability and risk, and work with appropriate personnel to develop and implement corrective action plans.
  • Manage operational budget and finances working in co-ordination with Finance department and Director of Health Services
  • Participate in meetings and committees in discussion of goals and strategic plans for assigned areas of responsibility.
  • Serve as a member of the agency’s Compliance Committee.
  • Complete other duties and related projects as assigned.

Qualifications


Education & Experience:

  • Bachelor’s degree in business administration, healthcare administration, or related field or equivalent combination of relevant experience and education
  • Five or more years of healthcare management experience; preferably practice management or healthcare operations.
  • 5 years or more of Management experience 
  • Experience driving cross-functional process improvement initiatives.
  • Experience with electronic health records and proficiency in Epic are desired but not required.
  • Experience working in a FQHC and/or Community Health Center environment required.

Knowledge, Skills, & Abilities:

  • Demonstrated ability to effectively perform the responsibilities outlined above.
  • Proficient computer skills including electronic health records systems and Microsoft Office.
  • Solid analytic skills and understanding of QI process, compliance, project management, and practice transformation.
  • Working knowledge of community health centers or comparable outpatient clinic operations. Understanding of FQHC processes and operations preferred.
  • Knowledge of applicable federal and state laws and regulations related to the healthcare industry such as OSHA and HIPAA guidelines.
  • Exceptional attention to detail.
  • Ability to manage multiple competing priorities in a fast-paced setting.
  • Ability to lead, direct and manage staff.
  • Capacity to grasp the overall picture and identify necessary actions for the smooth and efficient operation of both front and back-office functions.
  • Excellent verbal and written communication skills.
  • Proficiency in verbal and written English is required; proficiency in a second language (especially Spanish, Mandarin, or Vietnamese) is desirable.

  • Ability to establish and maintain effective work relationships as part of a multi-disciplinary team.

Working conditions

Work is conducted in an office environment inside a standard clinic setting. Basic safety precautions and use of protective clothing or gear may be required. Occasional evenings and weekend work is required.
