Portland Pain Solutions is Hiring a Medical Office Assistant Near Portland, ME

Boutique (solo doctor/practitioner) interventional pain management practice in a beautiful office in Portland, Maine, seeks a new medical assistant on a part-time basis. Check us out at portlandpainsolutions.com. We are a non-narcotic, primarily procedural practice, so we do not prescribe opioids. The schedule is flexible, but three 6-hour days per week are expected. Ideally MWTh. Work hours are usually going to be 9:30-3:30/4:00, although there may be special procedure days when we need to start at 8:00 am. Currently, this is very rare, but could increase at some point. Given the easygoing schedule, we do not do a dedicated lunch break.

Job duties include, but aren't limited to:

  • General office work, including keeping surfaces and floors clean, keeping offices organized, taking out the trash, etc.
  • Typical medical office work like checking in/out patients, taking vital signs, managing paperwork, scanning documents, maintaining equipment and inventories, running the autoclave (sterilizing instruments), and keeping the office clean.
  • Scribing assistance - We use an AI medical note scribing system now (you switch it on, it listens to the visit, then generates a note). Duties will include reviewing notes (out loud) for the scribing system to pick up, then, at the end of the visit, copying the generated note to the EMR with minor edits. This setup works incredibly well.
  • Procedure assistance - MA will assist with x-ray guided procedures, which involves assisting patients on and off the procedure table, positioning them well, moving and adjusting the position of the c-arm x-ray machine during procedures, then capturing saved images for the patient's record. X-ray gowns are worn protection, although exposure for the assistant, who is usually 6 feet away from the patient when pictures are taken, is exceedingly low. We monitor everyone's exposure and the assistant's badges often indicate minimal to undetectable exposure.
  • Prior-authorization work on occasion (I have outside staff doing most of this).
  • Phone work is handled by a remote assistant, so phone calls are not a routine part of the job.

Experience with the Athena EHR is a bonus, but not necessary. You must be able to type at least 40 wpm and demonstrate this skill at your interview. Running x-ray equipment requires decent physical coordination. We are happy to train the right person.

We do not work weekends. The weeks of Thanksgiving and Christmas - New Year's are always off, as are most public holidays. If you need an odd day off here and there, we can usually adjust the schedule around that with a 1-2 week's notice. On days you are scheduled to work, reliability and punctuality are critical- the scheduled patients are counting on us to be there for them.

The work environment is quiet, attractive, and low-stress. This kind of work is best for a mature self-starter with high personal standards who doesn't need or want a lot of direction once familiar with job duties. I don't offer medical benefits, so the ideal candidate will already have this through other means. There is a learning curve to participating in the kind of work we do in this office. It's expected that you will do some of the needed reading and self-study on your own time. For example, if you are unfamiliar with Athena, we have videos you can watch and learn from so you're ready for the job.

The job does not officially start until mid-May, when my current assistant moves on, but I could start someone a bit sooner, perhaps 1 day per week for training.
