Reports to: Rooms Division Manager, position is non-exempt

This individual also oversees the night audit operation to ensure closing of the night is done properly and accurately.
THE ROLE
The Night Auditor role is not a front desk receptionist hiding behind a desk, generating paperwork, and swiping credit cards. At the Pontchartrain Hotel, the Night Auditor owns the guest experience, ensuring that no need goes unmet and no opportunity to make a guest’s visit special is missed. You are an exquisite host, just as comfortable arranging the details of a surprise proposal, as they are giving a hotel tour to a curious neighbor or maneuvering a bell cart. The Night Auditor knows the ins and outs of both the hotel and the surrounding community, and with a gracious demeanor and warm presence makes every guest entering the lobby feel at ease, knowing that they have selected the right place. This position turns details and tidbits about guests into recognition and actions that make a stay at Pontchartrain Hotel a personal, one-of-a-kind experience. This individual also oversees the night audit operation to ensure closing of the night is done properly and accurately.
WHAT YOU WILL DO
  • Posts room charges and taxes to guest accounts.
  • Post charges to the guest accounts that have not been posted or were incurred on the night audit shift.
  • Transfer charges and deposits to master accounts.
  • Checks to see that all charges are assigned to the appropriate departments.
  • To verify that all transactions performed at the front desk are supported by documentary evidence and signatures as necessary and that they have been correctly posted and allocated in to PMS system.
  • To Verify that all charges posted from the POS Software had reached the correct guest folios and also not missing.
  • Verifies all account postings and balances.
  • Verifies that room rates are correct and posts those rates to guest accounts.
  • Monitors the current status of coupon, discount, and other promotional programs.
  • Is able to function as a Front Desk Ambassador especially in terms of check-in and check-out procedures.
  • Tracks room revenues, occupancy percentages, and other front office statistics.
  • Prepares a summary of cash, check, and credit card activities.
  • Summarizes results of operations for management.
  • Check figures, postings, and documents for accuracy. Record, store, access, and/or analyze computerized financial information.
  • Prepare of End of day procedure.
  • Follow the End of Day / Night Audit Checklist (Must Read !).
  • Must have complete knowledge of emergency procedures.
  • Balance the day’s charges, making corrections as necessary.
  • Performs wake-up calls.
  • Run end of day process in property management software (PMS).
  • Understand principles of auditing, balancing, and closing out accounts.
  • Knows how to operate PMS and other front office equipment's.
  • Respond to guest needs, special requests and complaints and alert the appropriate manager as needed
  • Responsible for the Supervision of all Overnight staff (Valet, Engineering and Security).
  • Reporting any and all guest issues to Senior Management.
  • Completing all incident reports in a timely manner and report up to all required channels.
  • Handle all guest issues using the Aparium service basics. 
  • Being completely familiar with all emergency procedures and ensuring those procedures are followed in an emergency.
HOW YOU WILL LEAD
  • Must be dependable
  • Understand guest service needs and exceed guest expectations by taking advantage of opportunities to add a special touch
  • Handle guests’ check-ins/check-outs in accordance with hotel standards in an efficient and friendly manner
  • Responsible for interacting with guests in the lobby, while ensuring the area is neat and tidy
  • Provide recognition to repeat guests
  • Maintain and adhere to hotel policies regarding a cash bank and makes daily deposits with accurate report of receipts daily
  • Responsible for the Supervision of all Overnight staff (Valet, Engineering and Security).
WHAT YOU WILL NEED
  • Passion for the people, place, and culture of our community
  • Good reading, writing and oral proficiency in the English language
  • College degree preferable
  • Minimum of 1 year of experience in a Guest Services Supervisory position
  • Intermediate skills in Microsoft Excel and Word to create spreadsheets or proposals
  • Ability to lift to 25 lbs. for handling guest luggage
  • Ability to work vary shifts, that may include days, nights, weekends, and holidays
