We seeking an experienced and highly organized Executive Assistant to support our CEO and VP of HR. The successful candidate will be proactive, detail-oriented, and capable of working with a high sense of urgency in a fast-paced environment. This is a hybrid position, offering the flexibility to work both in the office and remotely.
Responsibilities:
?Act as the primary point of contact for the CEO and VP of HR, managing their schedules, and appointments, and working on projects as needed.
?Coordinate and schedule meetings, conferences, and travel arrangements, ensuring all arrangements are well-organized and timely.
?Prepare agendas, presentations, and materials for meetings, taking minutes and following up on action items as needed.
?Assist in the preparation and editing of reports, memos, and presentations for the executive team.
?Handle sensitive and confidential information with discretion and professionalism.
?Anticipate the needs of the executives and proactively address them, demonstrating a high level of initiative.
?Manage and prioritize multiple tasks simultaneously, maintaining a high level of accuracy and attention to detail.
Serve as a liaison between the executives and Regional Team, ensuring effective communication and collaboration.
Assist with special projects and initiatives by providing support and coordination as needed.
Qualifications:
?Previous experience as an Executive Assistant supporting C-level executives is required.
?Exceptional organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
?Strong sense of urgency and the ability to work efficiently under pressure.
?Proficiency in Microsoft Outlook, Excel, and PowerPoint is essential.
?Excellent written and verbal communication skills, with a high level of professionalism and discretion.
?Flexibility to work both in the office and remotely, as needed.
?Proven ability to maintain confidentiality and handle sensitive information with tact and diplomacy.
