Description

Job Title: Event ManagerDepartment: Events & BookingReports to: Vice President of Events and BookingSupervises Others: NoDOL Status: Full-TimeExemption Status: Salaried; Exempt

General Summary:Responsible for overseeing all venue related aspects of Resch Expo events, forging creative solutions to challenges that arise throughout the event, and supervising all facets of the event. This position acts as venue liaison for all assigned events, ensuring a top-notch customer experience from start to finish, and works with clients to meet/exceed building related requirements to ensure a successful event.

Job Duties:

  • Demonstrates and embodies the PMI Entertainment Group Culture and Customer Service values.
  • Assists Booking Team with Complex event estimates and contracts.
  • Serves as the primary liaison with renters/promoters and works as communication liaison with internal staff teams such as creative services, marketing, ticketing, operations, facilities, and accounting.
  • Gathers and communicates detailed event specifications to all involved staff and determines service and equipment needs, timetables and other related needs on behalf of events.
  • Prepares, coordinates, and implements any support services to comply with contractual commitments and fulfills requirements of the venue event rental contracts and ensures proper implementation of support services.
  • Assist clients with designing and implementing floor plans that maximize profits as well as both client and public/patron experience.
  • Communicates set up needs to Operations Team before, during, and after event by developing detailed work orders and communicating via phone, email, and radio.
  • Tracks, monitors, and prepares costs and invoicing relative to each event, including rent, staffing, special requests, and equipment.
  • Manages multiple, complex timetables successfully in a collaborative and extremely fast-paced environment.
  • Maintains client relationships, requests, and needs.
  • Provides leadership, motivation, and direction to support personnel assigned to the project.
  • Responsible for the creation and maintenance of Ungerboeck documentation and record retention.
  • Develops pre-event planning documentation and post-event summaries.
  • Coordinates with event ticketing department for event execution and staffing for applicable events.
  • Maintain a working knowledge of venue capabilities and services to provide accurate information to clients.
  • Has the ability to develop creative solutions to clients’ needs that comply with venue regulations and jurisdictional codes.
  • Serves as Manager on Duty for venue events. In doing so, manages emergency situations, venue concerns, equipment deployment and the event staff to include ticket sellers, ticket takers, door guards, security staff and operations personnel. Responsible for resolving customer service or client/customer situations which may occur during the event.

Qualifications


Knowledge, Skills and Abilities Required:

  • Demonstrates ability to lead, influence and work across organization boundaries, including a broad range of peers.
  • Knowledge of accounting and budgeting to understand accounts receivable invoicing, debits and credits, payments, processing deposits, and post-event reporting.
  • Excellent written and verbal communication skills to professionally communicate with internal teams and external clients.
  • Ability to work extended hours when necessary and travel as needed.
  • Excellent problem-solving and project management skills with ability to creatively negotiate demands and recommend improvements to current processes.
  • Ability to organize project assignments, keeping in mind attention to detail for the entire process.
  • Must be able to demonstrate leadership skills to support and lead multiple projects and thrive on teamwork and overcoming obstacles with professionalism and in accordance with department/company objectives.
  • Responsible for project analysis, measurement, reporting and pipeline impact. Must be able to analyze data to make recommendations for events.
  • Ability to develop and foster client relationships in a professional manner while representing PMI Entertainment Group.
  • Must possess general understanding of Microsoft Office and Ungerboeck and how to properly create layouts and floor plans.
  • Three to Five years of experience in the event industry is preferred.
  • Analytical skills are needed to develop building usage and service reports regarding facility rental trends, as well as understanding of venue management.
  • Knowledge of all aspects of event production and operations at a level normally achieved through three to five years of experience to gain a full understanding of customer service, set-up, tear-down and crowd flow.
  • Must be able to work independently on projects.
  • Availability and ability to work irregular hours as dictated by facility schedule and project timetables to include nights, weekends, and holidays.

Other Expectations:

  • Frequent mobility and/or sitting, standing, bending, or reaching.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a computer and standard office equipment.
  • Normal range of hearing required plus vision correctable to 20/20 to read communications, reports, and computer terminals.
  • Must have a valid driver's license to drive to meetings outside the office.
  • During facility events requires working in a fast-paced environment and irregular work hours.
  • Must be able to understand a wide range of intellectual and practical problems, non-verbal symbols, and comprehension of difficult-to-understand concepts.
  • Must be able to use logical or scientific thinking to solve problems.
  • Must be able to perform math calculations involving fractions, decimals, and percentages.
  • Is frequently called upon to handle difficult situations.
  • Must be able to deal with a variety of emotions and frustrations in making business decisions.
  • Must be able to communicate providing verbal feedback in a professional manner.
  • Requires public contact and excellent interpersonal skills.
  • Must have ability to give, receive and analyze information, formulate work plans, prepare written materials, and articulate goals and action plans.
  • Must be able to make effective decisions in the absence of the VP of Events & Booking.
