Summary
The Administrative Assistant will assist the corporation's legal department with routine clerical and organizational tasks, including maintaining databases and filing systems, preparing documents, scheduling appointments, and supporting other staff.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Typing, proofreading, and finalizing outgoing correspondence to ensure legal requirements and timelines are met; apply knowledge of proper use of grammar and spelling to proofread and edit legal documents.
  • Arrange travel plans and itineraries and compile documents for travel-related meetings.
  • Prepare and submit internal forms and requests such as for expense reimbursement.
  • Manage supervisor's calendars and independently schedule requested appointments.
  • Screen incoming calls and correspondence and respond independently when possible.
  • Create and maintain database and spreadsheet files.
  • Assist with maintenance of legal records, including resolutions and minutes, litigation, real property, insurance, and securities files etc.
  • Assist with tracking and submitting state-level entity filings and renewals.
  • Assist in the preparation of Section 16 filings for the corporation and executives.
  • Assist with projects related to corporate governance, subsidiaries, compliance, corporate finance and development, IP, and other legal matters.
  • Liaise between the legal department and other internal departments and third-party businesses.
  • Attend governmental hearings and meetings and prepare summaries and memos.
  • Comply with all HR policies including confidentiality and non-disclosure.
  • Contribute to team effort by accomplishing related tasks.

Education and/or Experience
High school diploma or general education degree (GED); Associate’s degree or higher preferred in business, accounting, or a related field; or three to five years related experience and/or training; or equivalent combination of education and experience.
Computer Skills
To perform this job successfully, an individual should have an intermediate level of proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. Candidates should be able to type 60 words-per-minute.
Language Skills
Ability to read and interpret documents such as safety rules and regulations, operating and maintenance instructions, and procedure manuals.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Certificates, Licenses, Registrations
Must be able to obtain a Nevada State Cannabis Compliance Board Agent Card and be 21 years of age or older. Must be able to become a Notary Public in and for the State of Nevada.
