Placement By Design is Hiring an Accounting & Administrative Assistant (Temporary 6-7 months, Part-Time, Hybrid) Near Dallas, TX
About the Role:
We are seeking a part-time, hybrid Financial & Administrative Assistant to provide coverage during maternity leave. This role will support the Business Manager with a variety of bookkeeping, operations, and human resources tasks, ensuring smooth day-to-day operations in our architectural/design firm.
Responsibilities:
AccountsReceivable(A/R):
Verify and post timesheets for accurate invoicing, applying necessary adjustments.
Ensure accurate processing, coding, and allocation of project-related bills and expenses.
Generate monthly invoices for active projects with related expense documentation.
AccountsPayable(A/P):
Process, identify & assign payables to the correct categories for both project and non-project related.
Prepare and make payments for payables via check, ACH, or wire.
Process and deposit received checks.
Human Resources (HR):
Assist with new hire paperwork completion, payroll setup, and enrollment for benefits if needed.
Update payroll records with changes, additions, or deletions.
Assist new hires and contract labor with timesheet setup and training.
Assist with existing employees on benefits,
Financial & Administrative Support
Process payroll applying necessary adjustments.
Reconcile bank accounts and monitor cash balance.
Perform other relevant tasks as needed to support the efficient operation of the department.
Collaborate with the leadership team to provide administrative support as needed, prioritizing tasks based on urgency and importance.
File all documents associated with the role.
Qualifications:
Experience within interior design/architectural firm or related professional services firms (highly preferred)
Knowledge and experience with the Deltek Vision program or similar ERP program (preferred)
Basic understanding of bookkeeping principles.
Familiarity with human resources administration support
3 years of experience in administrative support
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent attention to detail and strong organizational skills.
Ability to work independently and manage multiple tasks effectively.
Strong communication and interpersonal skills
Benefits:
Hourly wage minimum $25. Potential higher compensation based on experience and qualifications.
Part-time, hybrid schedule; Approximately 24 hrs/week for 6-7 months.
