Job Overview
The Administrative Assistant/Office Admin is a key member of our team, expertly blending administrative responsibilities with hands-on warehouse tasks. This role is essential for supporting executives and teams to ensure efficient daily operations.
Key Responsibilities:
● General support to visitors and management of front office activities.
● Organization and scheduling of appointments, meetings, and management of multiple calendars.
● Accurate recording of meeting minutes and maintaining them for future reference.
● Handling of travel arrangements and accommodations for company travel.
● Management of email correspondence, including memos, letters, reports, and E-sign requests.
● Maintenance and updating of the CRM database.
● Support for inventory management and regular audits.
● Active involvement in kitting and fulfillment tasks within the warehouse.
● Maintenance of office and warehouse spaces, ensuring cleanliness and organization.
● Participation in the creation and updating of office policies and procedures.
● Supervision and support of office staff in daily operations, including payroll and time logging.
● Reconciliation and submission of expense reports for approval.
● Preparation and facilitation of contracts, letters, presentations, and analytical reports.
● Handling of payments to vendors and service providers.
● Coordination of logistics for shipping and receiving, particularly for trade show equipment.
● Requirement of a vehicle for running errands and managing deliveries to services like FedEx.
● Preference for candidates with experience in printing and laminating.
● Effective collaboration with offshore employees and other team members.
● Willingness to undertake additional duties as required.
