Job Description

Job Purpose:All office and administrative support workers not listed separately.Duties: * Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations. * Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.Skills/Qualifications:Administrative Writing Skills, Supply Management, Verbal Communication, Process Improvement, Organization, Multi-tasking, Problem Solving, Presenting Technical Information, Analyzing Information , Decision Making, Informing Others
Responsibilities : 
1. Answer phone calls when Office Assistant is not available.
a. Respond to phone inquires
b. Forward messages as necessary
c. Fill intake forms while talking to new/potential clients on the phone
2. Maintain and update databases as necessary
3. Draft/create typed documents as necessary
a. Documents requested by Management must be typed
4. Proofread and edit all office correspondence before it is distributed.
a. Cc/Bcc Staff Coordinating Manager /President on pertinent correspondence
5. Copy/fax/scan/email/ mail documents as necessary
6. Assist in overseeing all administrative aspects of seminars including registrations,
confirmations, certificates, badges & evaluations, preparation and mailing of materials to
seminar sight
7. Assist in developing and instituting methods for quality control and accuracy in staffing,
conferences, seminars/Orientation, and databases.
8. Assist in scheduling and coordinating meetings, appointments and travel arrangements for
managers as necessary
Applications
1. Help to ensure new applicant files are complete and up to date
a. Assist with recruitment
b. Screen new applicants for staffing needs.
2. Ensure that all application processes are followed and completed.
a. Assist with checking applicant references
b. Update and maintain staff compliance spreadsheet
i. Ensure staff are compliant prior to client placement
3. Help to ensure that staff are comfortable and any concerns raised are addressed or directed
to appropriate Supervisor/ Manager for a solution.
4. Update and maintain records of required staff training
a. Ensure staff completes required training
i. Assist in scheduling/coordinating make-up training sessions as necessary
Payroll/Time Sheets
1. Ensure time sheets are submitted at the end of each week, signed appropriately, and
calculated correctly.
2. Ensure care notes and goals are completed and submitted with timesheets.
Staffing
1. Respond to/acknowledge inquiries for new staffing contracts/requests within 4 hours.
Forward the requests to Manager/President for follow up.
2. Create and maintain monthly staff schedules. Provide copy of monthly schedule to the
President 3 days before the new month begins.
3. Call and schedule staff to fill requested needs.
a. Keep track of staff schedule
b. Know when and where scheduled staff is supposed to be
c. Find back up for staff that cancels or takes time off.
4. Assist in updating and maintaining an active list of staff that can be contacted for shifts
that may come outside of normal business hours.
a. List should include name, address, phone numbers, title of staff
Other Tasks
1. Attend monthly staff meetings with necessary reports and updates regarding assigned
tasks.
2. Collaborate with office staff, managers, and president to meet weekly and monthly goals
3. Complete and submit certificates of all training necessary to successfully execute the
requirements of this position.
4. Complete other tasks as assigned
