Would you like to:
Handle important organizational matters for the CEO and Board in confidence and with discretion
Maintain a daily schedule of meetings and events for the CEO and Board (daily internal and external meetings, assisting long-term planning for the Corporation)
Assist and support planning and management of important events
Assist in creating presentations, agendas, reports, special projects, and other documents
Arrange travel and accommodation
Screen incoming calls, provide information as requested, relay accurate messages and routine inquiries to appropriate staff
Plan and coordinate the Board of Directors schedules and logistics
Attend all Board meetings (regular, special, annual, and travel with the Board as required)
Prepare/collate materials for Board meetings (notifications of meeting dates, agendas, meeting packets, and other materials for distribution before meetings)
Assist in transcribing monthly Board meeting minutes
Assist in preparing support materials for annual Shareholder meetings
Work with the Director of Elections to prepare for Board elections
Catalog and store meeting recordings and resolutions, Board packets, and reference materials
Assist Heirship and Finance Committee as required
Other duties as assigned
Our ideal candidate’s experience:
Shareholder or family of shareholder (preferred)_
High school diploma or equivalent (college degree preferred)
Two years of transcribing, taking minutes, and meeting preparations
Strong proficiency in computer skills, MS Office (including PowerPoint), and the internet
Professional administrative experience (3 years plus)
Effective written and verbal communication skills
Ability to work in a diverse environment
Valid driver’s license
Ability to travel periodically
Ability to work collaboratively and productively with other staff
