Peak Surveys Inc is Hiring a Receptionist and Office Manager Near Westlake, CA

Established in 1976, we are a reputable full-service civil engineering, land surveying, and land use consulting firm. We are seeking a proactive, self-starting individual who is detail-oriented and organized to join our team. The ideal candidate will have a strong administrative background and excellent communication skills.

Example Duties:

  • Administrative Tasks: Handle day-to-day administrative tasks such as managing correspondence, answering phone calls, facilitating proposals, greet and assist visitors in a professional manner, scheduling appointments, and organizing meetings.
  • Office Operations: Oversee office operations to ensure smooth functioning, including maintaining office supplies, equipment, and facilities.
  • Record Keeping: Maintain and organize records, files, and databases, ensuring accuracy and confidentiality.
  • Communication: Facilitate communication within the office and with external stakeholders, ensuring effective information flow.
  • Policy Implementation: Implement and enforce company policies and procedures, ensuring compliance with regulations and standards.
  • Event Planning: Coordinate office events, meetings, conferences, or special projects as needed.
  • Vendor Management: Liaise with vendors and suppliers, negotiate contracts, and ensure timely delivery of goods and services.
  • Problem Solving: Address any issues or concerns that arise within the office, resolving conflicts and finding solutions to challenges.
  • Health and Safety: Ensure compliance with health and safety regulations, maintaining a safe and healthy work environment for employees.

Requirements:

  • Administrative Experience: Proven experience in administrative roles, demonstrating proficiency in tasks such as email correspondence, scheduling, and record keeping
  • Office Management Experience: Previous experience in office management or similar roles, with a track record of successfully overseeing office operations and ensuring efficiency.
  • Communication Skills: Strong communication skills, both verbal and written, with the ability to effectively interact with employees, clients, and external stakeholders.
  • Organizational Skills: Excellent organizational skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Problem-Solving Skills: Demonstrated ability to identify issues, analyze situations, and implement effective solutions to resolve problems that arise within the office.
  • Technical Proficiency: Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and systems.
  • Customer Service Skills: A customer-focused approach with the ability to provide exceptional service to both internal and external customers.
  • Team Player Mentality: A collaborative mindset with the ability to work effectively as part of a team and foster a positive work environment.
