Peacock Architects is Hiring a Bookkeeper Near Fort Lauderdale, FL

Job Title: Bookkeeper

Candidates must be organized, detail oriented and comfortable in a fast-paced work environment.

Job Type: Part-Time; 20 hours a week

Pay: $18.00 - $22.00 per hour

Job Requirements:

  • Required: Associates Degree in Business or Finance, preferably Accounting
  • Preferred: Bachelor’s degree in Accounting or Business Administration. Experience with a Design, Engineering, Architectural or Construction company in an equivalent role.

Experience:

  • Required: 5 or more years in a bookkeeping or accountant
  • Performing the accounting activities for a small to medium size company.

Skills, Knowledge and Abilities:

  • Must have the ability to communicate clearly with customers, vendors and Peacock Architects employees.
  • Required to manage the Executive Teams personal accounts on a monthly and weekly basis.
  • In depth knowledge of QuickBooks, in particular the finance modules, chart of accounts, AR/AP and General Ledger processes.
  • Must have ability to calculate complex mathematical functions, read and understand purchase orders, job sheets, and invoices.
  • Intermediate level understanding of MS Office suite, in particular, Excel.

Responsibilities:

  • Prepare Accounts Receivable aging trial balance weekly for distribution to President and Vice President.
  • Produce, perform analysis and distribute weekly Cash Management Summary (CMS) and Current Financial Summary (CFS) to President and Vice President each Monday morning.
  • Owner of the system of record - QuickBooks Admin and trainer for all other QuickBooks users. Responsible for ensuring a segregation of duties exists between all processes.
  • Account reconciliation of Balance sheet, all accrual accounts, Expense items on P&L, and bank records.
  • Assist decision maker on AP timing for payments to Vendors.
  • Monthly reports created and distributed no later than 1-week post month end.
  • Prepares books for Federal Taxes
  • Preparation and distribution of W2s and 1099s
  • Review all job costing models for profitably. Quarterly review of Overhead analysis used in the job costing/bidding model.
  • Responsible for bi-weekly processing of payroll.
  • Accountable for all financial records, their accuracy, consistency, and reconciliation.
  • Primary liaison between Peacock Architects and any outside accounting entities brought on for Tax planning and/or preparation.
  • Oversees all journal entries and financial entries.
  • Responsible for timely distribution of AR aging to sales for collection purposes.

Performance Criteria:

The Bookkeeper shall be deemed to be performing in an acceptable manner when the following have been accomplished:

  • Payroll processes completely each Monday without incident.
  • Previous month is closed and reconciled by the second Friday of the next month.
  • AR and AP Aging reports are monitored weekly to maximize cash flow. AP terms are consistent and negotiated regularly. Accounts Receivable is monitored, and each salesperson is held accountable for their collection efforts.
  • Bad Debt is minimized and avoided year over year.
  • Monthly monitoring of all expense items on the P&L to spot trends and recommend cost savings.
  • Question everything and be a “pain in the neck”
