Paxton Presbyterian Church is Hiring an Office Administrator Near Harrisburg, PA

We seek an Administrative Assistant with experience in bookkeeping to join our collaborative team and assist with daily operations. The successful candidate for this position will have excellent organizational skills, be thorough and detail-oriented, and enjoy working in a church. We are looking for a proactive and dependable individual who is able to work collaboratively with all members of the church.

Qualifications:

  • Capacity for independence, self-direction, and proactivity
  • Mastery in attention to details
  • Ability to maintain confidentiality
  • Proficiency in Microsoft Office, Google Workplace, and data entry into the church database
  • Advanced bookkeeping skills; knowledge of basic accounting principles desirable

Responsibilities:

Financial:

  • Post and reconcile the contributions and payments
  • Prepare and distribute contribution statements
  • Assume responsibilities for bill paying and payroll for church and nursery school staff under the supervision of the Finance Committee and the Treasurer
  • Prepare and distribute monthly and yearly finance and budget reports as directed by the Finance Committee and Clerk of Session
  • Prepare stewardship reports as directed by the Finance Committee
  • Reconcile bank statements and petty cash for all accounts

Clerical:

  • Greet visitors and vendors and give guidance where needed
  • Publish the weekly bulletin and any bulletins for special services
  • Enter and maintain weekly attendance records
  • Compile, format, and publish the weekly newsletter
  • Compile, format, and publish the annual report
  • Maintain membership software and official membership book
  • Assist committees and organizations of the church in publishing directories
  • Report building maintenance issues to proper committee
  • Maintain day-to-day operations of running the office, including ordering supplies, helping to execute special events and sales, filing, and backing up files, etc.
  • Provide clerical support to the Session, Deacons, Committees, and the Pastor
  • Answer the phone, take messages, retrieve messages from voicemail
  • Monitor, respond to, and forward when necessary, any e-mail
  • Receive, sort, and forward postal mail as necessary
  • Provide support for the nursery school
  • Schedule volunteers to fill any shifts that the Office Administrator is not available to work. These same volunteers might also help with any odd manual labor jobs such as copying, folding, envelope stuffing, sign changing, etc. that need to be completed

Other duties and tasks as deemed necessary and appropriate by the leadership of Paxton Church

Personal requirements:

  • Pennsylvania Child Abuse History Clearance, The Pennsylvania State Police Criminal Record Check, and the FBI Background Check, all current within one year from date of hire
  • Ability for sitting at prolonged periods of time, filing, repetitive keyboard use, standing, walking, bending, and carrying light to medium weight items (maximum of 30 pounds)
  • Ability to understand and accept written and oral instruction in the English language
  • Ability to use computer, copier, and other small office equipment
  • Ability in detail work and record keeping
  • Ability to proofread accurately
  • Excellent communications, interpersonal, and organizational skills
  • Knowledge of English grammar, punctuation, and spelling

Job Type: Full-time

Pay: From $22.00 per hour

Expected hours: 40 per week
