Accounts Payable Specialist

Patriot Maritime is a leading maritime contractor to the U.S. Government providing ship management services to MARAD, the Military Sealift Command (MSC), and commercial vessels. ( www.patriotships.com) Offices are located in Concord, CA. 

Patriot is looking for a Accounts Payable Specialist to join the team. This position is an on-site position.

Responsibilities & Authorities:

The Accounts Payable Specialist will be responsible for the daily activities related to the processing of invoices, credit memos, expense reports and purchase orders, as well as the preparation of check runs. This position reports to the Controller.

• Review and verify invoices for accuracy, completeness and compliance with company policies/procedures.
• Code and enter invoices into the accounting system with appropriate general ledger coding.
• Process payments to vendors via 3-way match system with purchase orders in accordance with payment terms, if applicable.
• Verify appropriate approvals have been provided and coding is appropriate
• Reconcile accounts payable aging to the general ledger
• Communicate with vendors to resolve billing inquiries and discrepancies.
• Respond to internal inquires regarding status of invoices.
• Maintain accurate and up-to-date vendor files and records (includes scanning, filing, making copies).
• Assist with ad hoc projects and tasks as needed.
• Reconcile vendor statements and resolve any discrepancies or issues in a timely and professional manner.
• Ensure information regarding check runs is uploaded to the bank
• Preparation of 1099’s
• Provide back-up support for Billers, as necessary

Qualifications:

• High school diploma, GED, or equivalent required
• Bachelor’s degree in accounting, finance or related field a plus
• 2-4 years of accounts payable experience
• High degree of accuracy and attention to detail
• Ability to organize, work efficiently, and meet deadlines
• Ability to function and contribute in a team environment
• Software/systems experience: Microsoft Office 365, SharePoint, OneDrive, Outlook, and Microsoft Dynamics SL (or similar) accounting system experience desired
