POSITION TITLE: Operations and Analytics Manager

REPORTS TO: Chief Operating and Engagement Officer

POSITION SUMMARY:

As a key team member of Partners in Change (PIC), this position plays an important role in PIC realizing its vision of enabling transformational growth and ensuring that all under-resourced adults have opportunities for personal, social, and economic upward mobility.

Successful support of PIC programs, and analysis of its impacts, involve several technology platforms and/or applications. The Operations and Analytics Manager has responsibility for optimizing the use of these and future applications to ensure smooth operation of PIC systems and accurate data to guide PIC’s growth and effective support of those we serve.

PIC PROGRAM

PIC achieves its vision by offering one year of free 1:1 life coaching to under-resourced adults pursuing new goals (PIC Members), thereby overcoming existing inequities in access to personal development opportunities. PIC coaching is provided by trained PIC volunteers who serve as 1:1 coaching partners to PIC Members. PIC is a 501(c)(3) non-profit organization.

KEY SKILLS DESIRED

• Experienced in successfully managing Salesforce CRM database administration
• Proficient in data collection, documentation, workflows, and reporting
• Skilled in program impact analysis
• Experience in Wix and WordPress, including back-end processes
• Skilled with user customization of applications
• Ability to automate current manual processes preferred
• Proficient in Google Drive and Microsoft Office products, especially spreadsheets
• Ability to explain technology to new users, teaching experience a plus
• Highly organized and motivated with great attention to detail
• Experience leading and developing support staff
• Strong oral and written communication skills

ROLE

• Oversee and ensure accuracy of PIC’s Salesforce database and all platforms
• Serve as database/technology systems subject matter expert on PIC team
• Support internal and external partners re: digital forms, application questions, etc
• Facilitate a seamless PIC Member application process to support conversion of applicants into Members
• Supervise, lead, and develop VISTA Community Partner Specialist member, with collaborative support of PIC’s Director of Community Partnerships
• Support PIC team members involved in application process and data entry
• Create reports and dashboards for internal PIC team showing program impacts and progress towards goals
• Lead near-future implementation and training on PIC’s new Community Portal digital platform (for in-field reporting and communication)
• Create Community Portal accounts for all newly-paired coaching teams
• Meet monthly with Leadership Team to update and strategize organization growth
• Uphold PIC’s mission and vision during all internal and external interactions

• Distributes weekly progress and impact reports to PIC team
• Ensures timely response to PIC requests for data, reports, and analysis
• Analyzes program data to provide insights/recommendations useful to the development of PIC program’s effectiveness and growth
• Proactively initiates actions in response to challenges
• Sets clear priorities and follows through on opportunities and commitments
• Works collaboratively with fellow PIC team members to support overall PIC success
• Ensures PIC’s VISTA Community Partner Specialist gains full understanding of PIC’s coaching model, provides a growing and productive contribution to PIC’s vision and goals, and has opportunities for professional development in service of PIC’s vision
