Job Title: Showroom Assistant / Office Administrator
Job Type: Full-Time
Schedule: Monday – Friday, daytime shift; may include evenings and weekends to accommodate client appointments and events.
Compensation: Starting Pay: $15.00

Position Purpose
We are seeking a dedicated and detail-oriented individual to join our team as a Showroom Assistant / Office Administrator. The ideal candidate will play a crucial role in ensuring the smooth operation of our showroom and office activities. This position requires excellent organizational skills, strong communication abilities, and a passion for providing exceptional customer service.

Duties and Responsibilities
Showroom Assistance:
  • Greets clients and visitors as they enter the showroom, providing a warm and welcoming atmosphere.
  • Assists clients in exploring our product offerings, answering questions, and providing recommendations based on their needs.
  • Maintains the cleanliness and organization of the showroom, ensuring all displays are well-presented and stocked.
  • Processes orders and handles transactions accurately using our point-of-sale system.
  • Coordinates with the sales team to follow up on client inquiries and ensure timely fulfillment of orders.
Office Administration:
  • Manages incoming calls and emails, directing inquiries to the appropriate team members.
  • Assists in scheduling appointments, meetings, and showroom tours for clients and staff.
  • Maintains office supplies inventory and place orders as needed to ensure adequate stock levels.
  • Handles incoming and outgoing mail, including sorting, distributing, and processing shipments.
  • Assists with basic accounting tasks such as invoicing, receipt tracking, and data entry.
Customer Service:
  • Provides exceptional customer service by addressing client inquiries and concerns promptly and professionally.
  • Builds strong relationships with clients by understanding their needs and preferences, offering personalized assistance, and following up on their satisfaction.
  • Acts as a liaison between clients and the sales team, ensuring clear communication and efficient resolution of any issues.
Knowledges, Skills and Abilities
Previous experience in a customer-facing role, preferably in retail or showroom environments.
Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
Strong organizational abilities with keen attention to detail and the ability to multitask effectively.
Proficiency in computer applications such as Microsoft Office Suite and experience with point-of-sale systems is a plus.
Ability to work independently as well as collaboratively in a team-oriented environment.
Education, Qualifications, Licensing Requirements
High school diploma. GED, or equivalent.
Management Preference
Knowledge or interest in interior design and building materials is desirable.
Bilingual skills (English and Spanish).
Working Conditions
The position primarily operates in a showroom and office environment, with occasional requirements to assist in warehouse activities. The showroom environment may involve exposure to various building materials and samples.
Physical requirements
Ability to stand and walk for extended periods, as the role involves assisting clients and maintaining the showroom floor. Capable of lifting and carrying up to 25 pounds of materials or products when stocking displays or assisting with inventory. Manual dexterity and visual acuity to operate office equipment, handle paperwork, and process transactions accurately. Comfortable working at a computer workstation for tasks such as data entry and communication. Adaptability to perform tasks that may require bending, stooping, reaching, and kneeling to access merchandise and maintain displays.
