Role and Responsibilities
Reporting to the Senior Vice President of Human Resources, the PSOE Employment Coordinator will assist in the institution’s management of Human Resources, contracts, benefits, and payroll. They will develop deep operational knowledge of site-based operations, reporting requirements, and process-driven accountability. 
Under the supervision of the Senior Vice President of Human Resources, the Employment Coordinator will manage the entire lifecycle of tasks and movements of employees. The Employment Coordinator will perform a variety of support work to help the HR department run smoothly including but not limited to responding to employee inquiries, high level data entry, managing the finalization of all employment verifications, onboarding, orientations, auditing employment records, processing benefit enrollments, payroll, and offboarding. 
The Employment Coordinator will manage confidential information, such as compensation, benefit enrollments, FMLA and other sensitive matters. As an HR Professional, the Employment Coordinator must have the ability to respect privacy by demonstrating a deep understanding of the following:
  • Discretion - Disclosing an employee’s personal data (e.g. medical history) can put that employee in an uncomfortable position and raise a legal risk. All sensitive information must be handled with care.
  • Ethics - Demonstrates a high level of integrity as they will have access to organization information, including contract terms, budgets, salaries, offer letters and employee relations. It’s important that they refrain from gossiping about this information and maintain their professionalism at all times.
  • Trustworthiness - Obligation to inspire support and trust across the organization regardless of opinion, feelings or any other form of internal conflict. All communications and interactions should depict a high level of servant leadership, morale and contribute to a positive organizational culture.
Responsibilities
Leadership:
  • Contribute to a strong HR and operations team
  • Assist with employee screening, onboarding, processing, and offboarding
  • Assist in managing HRIS job requisitions and applicant portal
  • Contribute to handbook and policy and procedure revisions
  • Time management: The Employment Coordinator is responsible for meeting deadlines as defined by the Senior VP of Human Resources and complying with relevant State and Federal regulations.
  • Records management: The Employment Coordinator will manage confidential information and documents. They will be responsible for managing and retrieving employee data from digital employment files and the Human Resource Information System (HRIS).
  • HR Phone management: Screen calls and phone messages and pass along according, while being responsive to any HR related inquiry. 
  • Calendar Management: In-between daily HR processing, meetings with colleagues, TPA’s and community partners, the Employment Coordinator may have to squeeze in other important tasks, like setting up an employee training and development and organizing school events. Solid calendar management skills and an ability to prioritize will support productivity.
  • Data Management: The Employment Coordinator will assist in team reporting for all aspects of organizational HR to include regular Navigation team meeting data updates.
  • Act with the Navigation team as a professional advisor on all aspects of HR.
  • Identify, assess, and inform the Senior VP of HR of internal and external issues that affect the organization.
  • Foster effective teamwork between school leadership and the Navigation Team.
  • Utilize effective systems as delegated to manage the HR and payroll process, track progress, and regularly evaluate program components, to measure progress in a way that can be effectively communicated to the Senior VP of HR.
  • Attend monthly board meetings. Be prepared to assist with board meetings as needed.
  • Assist with additional duties as requested.
Human resources planning and management:
  • Support the intake of staffing for organizational management and program delivery.
  • Assist in the implementation of school payroll, and the human resources intake and management process, including procedures and practices outlined in the job descriptions for all staff.
  • Establish a positive, healthy and safe work environment in accordance with all appropriate legislation and regulations.
  • Be prepared to assist all staff with an orientation to the organization and that appropriate ongoing/annual HR information is provided.
Qualifications and Education Requirements
The ideal candidate will have 2-4 years of experience in the administrative support or human resources sector, preferably in an Educational institution. Job candidates should also be detail-oriented, have strong interpersonal skills, and a high capacity for time management. Additionally, the candidate should have strong written and verbal communication skills and an ability to use computer systems with proficiency. 
The Employment Coordinator will be thoroughly committed to the PSOE mission. All candidates should have proven leadership, and relationship management experience. Concrete demonstrable experience and other qualifications include:
  • Bachelors degree, with experience preferred
  • Unwavering commitment to quality programs and data-driven production.
  • Excellence in organizational management, with the ability to manage multiple tasks, and set and achieve strategic objectives.
  • Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills.

  • Passion, idealism, integrity, grit, positive attitude, mission-driven, and self-directed.
Preferred Skills
  • Advanced degree
  • PHR/SPHR or SHRM-CP/SHRM-SCP Certification
  • Proficiency in modern business technology applications.
  • Knowledge of federal and provincial legislation applicable to charter organizations including: employment standards, human rights, occupational health and safety, charities, taxation, payroll, health coverage, etc.
  • Knowledge of current community challenges and opportunities relating to the mission of the organization.
  • Knowledge of human resources management.
Additional Notes
The Employment Coordinator usually works in an office environment, but the mission of the organization may sometimes take them to non-standard workplaces.
The Employment Coordinator works a standard workweek, but may occasionally work evening, weekends, and any additional hours necessary to accommodate activities such as Board meetings and representing the organization at public events.

The Navigation team shares a co-workspace. Duties may be occasionally performed remotely or at another PSOE building. Local and national travel is expected. The noise level in the work environment is usually moderate. General work hours are from 8:30 a.m. - 4:30 p.m. Monday-Friday. Work hours may vary based on School/Navigation events, and the Employee may work evenings, weekends, and any additional hours necessary to accommodate activities such as committees, fundraisers, public meetings, and representing the organization at public events.
