Job Summary:

HR Leaves & Accommodations Specialist will be responsible for supporting and answering employees regarding their leave of absence needs and inquiries. This role will work closely with the employees, HR leave team, HR Operations, Leave vendors and HR Client Support team to insure and maintain the leave record is accurately maintained and updated per the established leave programs and policies. This role is responsible for supporting and processing the leave programs and policies via the Leave Administration system, Workday system processes, policy interpretation, reporting, and audits.

Essential Duties:

Employee Services & Administration

  • Responsible for answering escalated employee inquiries made via multiple channels (e.g., e-mail, phone, case management system). Inquiries may include, but are not limited to interpretation of HR policies and procedures, information regarding employee programs, benefits, etc.
  • Provide backup support to the other Leave Administrators and Employee Services as deemed necessary
  • Ensures high-quality standards for all activities, initiatives, and tasks within the designated functional area(s) of responsibility. Adheres to all service level agreements (SLAs) established by the HR functional area(s) / team(s). Appropriately documents case details and relevant information in the case management system.
  • Collaborates effectively with others in order to execute tasks and fulfill key deliverables within the HR functional area(s) in order to develop credibility. Integrates efficiently with team members in the functional area(s), seeking input/assistance as needed. Strives to gather and share information to allow for transparent knowledge transfer and effective overall capability of the HR functional team.
  • Ensures that all company policies and procedures are adhered to / in compliance with all applicable Federal, state, and/or municipal laws. Understands HIPAA policy and practice to ensure confidential employee information is protected.
  • Provides continuous status updates, guidance, and information to customers, key stakeholders, and peers within the HR functional area team(s) to ensure case resolution. Provides feedback and recommends process improvements to management.

Leave Administration (LOA)

  • Field all LOA inquiries from employees and managers across the US and provide guidance and interpretation in accordance with company policy and applicable federal and state laws.
  • Administer all aspects of leave programs. Maintain detailed records.

ADA Administration

  • Reviews and evaluates requests for accommodations under the ADA.
  • Documenting the employee's request for accommodation and facilitating the interactive process between the employee, HR and Legal to determine the most effective accommodation.
  • Responsible and accountable for maintaining and protecting personal health information. Must maintain a high level of confidentiality and abide by HIPPA rules and regulations

Reports & Audits

  • Create and distribute various daily, weekly, monthly and ad-hoc reports for various internal customers
  • Responsible for monthly employee leave data audits in coordination with the HR Operations team SOPs

Continuous Improvement

  • Updating and maintenance of HR system procedures, user guides, FAQ's, tool kits, forms and training materials.
  • Identify and recommend opportunities for continuous process improvement; create efficiencies through understanding system capabilities and streamlining processes

Exercises some judgment Personal Protective Equipment (PPE) Requirements:

  • To ensure the health and safety in the workplace and for the protection of our employee's, wearing PPE is a requirement for some roles at PENA and may include equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit that includes a respirator.

Qualifications: Requirements - Required and/or Preferred

Education:

  • Basic: High school diploma or GED
  • Preferred: Four-year college degree in Business Administration/Human Resources or equivalent work experience.

Preferred Qualifications:

  • Process expertise from any discipline - ideal candidates have a reputable lean six sigma certification with experience in a live operations environment.
  • Analytical orientation - demonstrated capability for data-driven decisions and data analysis. High systems comfort level.
  • Workday experience preferred but not required. Other systems experience such as human capital management or enterprise resource planning is helpful.
  • Clear communication skills- Succinct and vivid for topics that can be complex.
  • Willingness to learn, teach, and build.
  • Proficiency with Microsoft Office Suite, including Access, Outlook, PowerPoint, Excel and Word and have the ability to use the computer to complete online learning requirement for- specific competencies, access online forms and policies, complete online benefits enrollments.
