Nestled next to the protected open space of the Arastradero Preserve, Palo Alto Hills Golf & Country Club offers incomparable Bay Area vistas. Our welcoming and distinctive private club provides challenging golf, year-round recreation, artistic culinary and social activities for Members, their families and guests.
Position Summary:
The Wellness Concierge will represent Palo Alto Hills Golf & Country Club standards of customer service excellence for all members, guests, callers, and its employees. The position requires a pro-active, organized individual able to perform varied, diversified, and confidential administrative work which supports the successful completion of departmental functions, goals, and objectives. Excellent administrative and communication skills are required.
Reports to: Wellness Concierge Supervisor and the Wellness Director
Essential Duties:
  • Proactively greet everyone who calls in or enters the property in a pleasant, outgoing and professional manner.
  • Conduct frequent checks that all Appointments are booked correctly
  • All online reservations modules are current and working efficiently. Appropriate activities are blocked off to ensure no double bookings
  • Ensure schedules are accurate for Jonas Spa for proper billing
  • Handle billing discrepancies and member feedback within 24 hours or less
  • Cleanliness of Wellness Center facilities
  • Create and organize documents for the front desk
  • Update resources to be most current
  • Be knowledgeable of the following:
  • All Club services, hours of operation, amenities, etc
  • Be familiar with all upcoming fitness, youth, and family programs
  • Directions to and from the Club
  • Guest policies
  • Basic club information including how to describe and define the Club
  • Club food concepts, dress code and ambience
  • All information in the Club newsletter and on the website
  • All website addresses
  • All upcoming Member events, committees, etc
  • All technology features
  • All Health and Safety Policies and Procedures
  • Always maintain a professional appearance
  • Attend and contribute to staff meetings and all required meetings
  • Review website tasks have been completed and are up to date such as event registrations, highlight creation, webpage updates, and announcements
  • Update building signage to promote seasonal and holiday hours and closures as needed
  • Monitor Wellness Shop
  • Conduct daily walk throughs of the facility and report issues
  • Follow the PAHGCC Mission Statement as listed in the PAHGCC Employee Handbook
  • Adhere to all PAHGCC service standards and Club wide policies
  • Perform other duties as assigned to meet departmental and business needs
JOB REQUIREMENTS
Knowledge/Experience
  • Minimum 2 years of administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Proficiency in Microsoft Office Suite (Excel, Word, and Outlook)
  • Have a high degree of accuracy and attention to detail
  • Possess excellent attention to detail and data entry skills
  • Demonstrate a sense of urgency and ability to meet deadlines
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Strong communication skills, team player, proactive, and positive mental attitude
  • CPR Certified or willing to become CPR certified upon hire
Working Conditions & Physical Requirements
  • Hours for this position vary and will change based on seasons
  • Disinfect equipment and clean work areas
  • Standing and sitting extended periods of time
  • May lift up to 25 lbs.
Hours and Compensation:
  • Compensation: $19 - $21.00 per hour depending on experience
  • Part-time position for at least two days a week. We’d love if you had availability to be on-call as well including holidays and weekends. Our shifts are:
    • Week days 5:45AM – 2PM or 2PM – 8PM on site
    • Weekends 6:45AM – 2PM or 2PM – 8PM on site
  • This is an hourly non-exempt position
