Pacifica Companies is Hiring an Executive Secretary Near San Diego, CA

We are seeking an efficient and dynamic Executive Secretary to provide comprehensive administrative support to our executive team. The ideal candidate will be highly organized, possess excellent communication skills, and demonstrate the ability to manage multiple tasks effectively. The Executive Secretary will play a pivotal role in facilitating smooth operations within the executive office by handling administrative duties, managing schedules, and coordinating various tasks to ensure optimal efficiency and productivity.

Responsibilities:

  • Provide administrative assistance to the executive team, including drafting correspondence, scheduling meetings, managing calendars, and organizing travel arrangements.
  • Handle incoming calls, emails, and other communications, directing them to the appropriate personnel and ensuring timely responses.
  • Maintain accurate records and files, both physical and electronic, ensuring confidentiality, and accessibility.
  • Prepare and distribute documents, reports, and presentations for meetings, ensuring accuracy and timely delivery.
  • Cultivate positive relationships with senior executives, board members, clients, and external partners.
  • Assist in organizing corporate events, conferences, and other relevant activities.
  • Anticipate scheduling conflicts and proactively resolve them to ensure seamless execution of plans.
  • Organize and maintain databases, files, and records, ensuring easy retrieval and secure storage of information.

Requirements:

  • Bachelor's degree in Business Administration, Secretarial Studies, or related field preferred.
  • Bilingual (Spanish) would be preferred.
  • Proven experience as an executive secretary, administrative assistant, or similar role, preferably in a corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Adaptability and flexibility to work in a fast-paced environment and manage changing priorities.
