About the Role

About the Role

We are seeking a dedicated and efficient Service Coordinator to join our facilities department. The Service Coordinator will be responsible for managing the daily schedule and all customer interactions. Also providing administrative support to both the General Manager and accounting department. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask effectively.

As our Scheduling Coordinator/Office Manager you'll be the vital hub that keeps our operations running smoothly. Your primary responsibilities will include:

  • Data entry, scheduling, and maintaining all customer information and project records.
  • Provide estimates both over the phone and prepare written proposals for customers.
  • Creating, maintaining, and adjusting schedules based on certain project requirements. Along with communicating schedule changes to the appropriate parties.
  • Coordinating and working closely with the General Manager, accounting, and field team to help maintain the schedule and customer flow.
  • Managing all customer communication channels including phone lines, emails, and CRM while ensuring prompt, friendly, and helpful responses.
  • Identifying and resolving any scheduling issues or conflicts that may arise.
  • Using our CRM, scheduling software, and other software tools to maintain effective operations.
  • Serve as main liaison for all incoming work orders from clients.
  • Receives incoming client emails / work order requests.
  • Vette out and ensure information on incoming work orders is complete before dispatching work order.
  • Work with JM or super to confirm the right tech to assign.
  • Set client work order up in our CRM software and create a work order, review manpower schedule, and dispatch to tech.
  • Work with PM and then set up new client service agreements within our CRM software.
  • Serve as main manpower scheduler in our CRM software.
  • Issue purchase orders for material purchases and issues POs to subs.
  • Prepare all AR/invoicing for clients on work order work and then send to Account Manager/PM for WO invoice approval.

  • Tech-savvy: You're comfortable using various software tools, including CRM systems, to keep operations running smoothly.
  • A multitasker: You can juggle multiple tasks and priorities without missing a beat, such as handling multiple phone lines and text messages.
  • Customer-focused: You're outgoing, friendly, and genuinely enjoy helping others. You care about providing excellent customer service and nurturing positive customer experiences with Junk B Gone.
  • Self-motivated: You are conscientious and have the ability to anticipate work needs and follow through with minimal direction.
