1 - Executive Assistant - Educational Services is a *Confidential Spanish Bilingual position for 8 hours/day, 12 months
  • $373 Monthly Confidential Stipend & 3% Bilingual Stipend
This eligibility list will be valid for one year and will be used to fill any future vacancies during the time this list is active.
SUMMARY OF DUTIES
To provide complex administrative assistance and secretarial support in the Educational Services Division of the District; to relieve the Assistant Superintendent, Educational Services of administrative detail; to organize office activities and coordinate communication for the division; and to perform a variety of other related duties.

Examples of Duties

1. Organize and manage a division office assuring efficiency of the office operations and staff; coordinate communications; relieve the administrator of administrative detail; maintain calendar for the administrator; schedule and arrange appointments, meetings, conferences and travel accommodations as necessary.
2. Review, research and summarize a variety of financial, statistical and administrative information; prepare related reports and correspondence.
3. Design, format, create and produce District master calendar, including collection of data, formatting of calendar, and selection of color and design of cover and inside graphics.
4. Screen office and telephone callers; tactfully answer and assist in resolving parent concerns and complaints; answer questions and provide information concerning office functions and activities in accordance with established procedures; take messages and refer callers to appropriate personnel.
5. Provide information to other District departments, personnel, students, parents, outside agencies and organizations and the public as necessary; interpret and explain State and Federal laws and guidelines, District policies, programs, rules, requirements and procedures.
6. Maintain an understanding of the programs and functions of the division and their relation to the District operation as a whole; maintain a variety of complex records and files related to division operations and functions including material of a confidential nature.
7. Prepare and assemble Board agenda items, assuring the inclusion of required backup materials.
8. Prepare and distribute meeting notices and agendas; attend meetings, workshop and conferences to record proceedings or receive information; prepare and distribute comprehensive minutes of meetings, workshops and conferences.
9. Maintain yearly calendars for all site administrators, including Learning Directors and administrative interns, as well as department administrators/managers; obtain site coverage for site administrators for absences for vacation or health related reasons.
10. Maintain and monitor department expenditures; order, receive, inventory, store and distribute office supplies and forms.
11. Operate a variety of office equipment, including computers and related word processing and other software applications as required; operate all other modern office equipment as required.
12. Review and access confidential information that contributes significantly to the development of management positions with respect to employer-employee relations; assist in the preparation of materials that develop or present management positions with respect to employer-employee relations. GC 3513 (f).
13. Perform related duties and responsibilities as required.

Employment Standards

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Experience: Five years of increasingly responsible administrative or secretarial experience, including two years in responsible education administration and one year of supervisory lead responsibility.
Training: Equivalent to the completion of the twelfth grade supplemented by college level course work from an accredited college or university in education, human resources, business administration or a related field.

Self-Insured Schools of California (SISC) and Blue Cross (PPO) Choice of contract or non-contract physicians. Dependent Coverage: Spouse and unmarried children to age 19 or to age 25 if full time student.
