KHAN LAB SCHOOL:
Founded in 2014 by Salman Khan, Khan Lab School (KLS) is a K-12 school headquartered in the heart of Silicon Valley. Serving approximately 300 students across two campuses, KLS is grounded in a mastery-based learning model. This approach focuses on learning outcomes that matter most and evaluates student growth with meaningful metrics rather than traditional letter grades. Khan Lab School is also an incubator that spins out new programs and also provides a test environment for products such as Khan Academy's Khanmigo.

WHO WE’RE LOOKING FOR:

The Operations & Office Manager is a key operational leader of Khan Lab School Wichita and is critical to the successful and efficient running of the school. This position is central to the realization of KLS Wichita’s mission as it provides both the Wichita School Director and faculty the opportunity to focus on teaching and learning. The Operations & Office Manager will therefore be an individual who embraces innovation and continuous improvement, is willing to get their hands dirty, and relishes the challenge of finding ways to work smarter and more efficiently, all in support of ensuring that leaders and instructional staff can stay focused on teaching and learning. The Operations & Office Manager reports to the Wichita School Director and supports the school’s administrators and faculty. They will work closely with the school’s staff as well as outside vendors and service providers. This position also serves as a key member of KLS Wichita’s leadership team.

PRIMARY JOB DUTIES & RESPONSIBILITIES:

The responsibilities of the Operations & Office Manager include, but are not limited to, the following:

School Operations:

  • In partnership with the KLS Wichita Leadership Team, this position develops the Wichita campus’s vision for school operations.
  • Consult and support the school’s strategic and annual planning and budgeting process.
  • Serve as a consultant to the administrative team to build scalable systems, policies, and procedures.

Student Information & Academic Operations Support:

  • Support the Academic Lead in managing systems for maintaining accurate student data and information.
  • Work with leadership to manage the logistical and technological elements of all student assessments.

Risk Management and Health & Safety:

  • Ensure that the school is prepared for emergencies by scheduling and conducting drills and training staff on emergency plans.
  • Periodically reviews and reassesses emergency plans.
  • Facilitate the inspection and certification of life-safety systems and equipment.
  • Partner with the Business Office and Human Resources to ensure all personnel interacting with students have completed a background check, LiveScan, and any other new hire requirements.
  • Serve as the county’s COVID-19 Designee and manages school’s compliance with health department requirements as well as school risk mitigation measures.
  • Support Office Administrators as they ensure immunization compliance and communicating to families when additional shots or records are needed.
  • Ensuring that school staff have completed CPR, First Aid, and AED training.
  • Notify the school community of health issues, as needed.

Front Office:

  • Responsible for Wichita’s front desk, greeting area, and the overall first impression guests have of KLS.
  • Support and direct all visitors upon arrival.
  • Answer and direct incoming School phone calls.
  • Maintain Learning Lab shared spaces, including the staff lounge and shared resources (copiers, printers, bulletin boards, etc.), restock supplies, and follow up on needed repairs.

Student Attendance:

  • Oversee and manage the student attendance process.
  • Monitor student attendance and reply to parent emails regarding student inquiries and absences. 
  • Take care of minor injuries and illnesses among students, exercise judgment on required next steps and communicate with parents about possible remedies and midday pick-ups.
  • With leadership, define and implement new policies for student attendance and off-campus privileges.

Human Resources:

  • Oversee on-site operational onboarding for all new hires as well as contracted substitute teachers.
  • Plan, coordinate, organize, and conduct new hire orientations, creating a professional and educational presentation on every new employee’s first day. This shall include conducting basic training for each new employee on KLS policies & procedures (safety training, time off requests, timekeeping in Bamboo, scheduling, general new hire questions, etc.).
  • Manage all aspects of the Volunteer Program including approving volunteers, ensuring every volunteer completes all required documents and training, keeping the volunteer schedule up-to-date, communicating any issues and changes with volunteers, and serving as the main point of contact for any volunteer related activities, events, or inquiries.

Purchasing Budget:

  • Oversee the budget for shared expenses including staff meals, office supplies, and events like Prom and Graduation.
  • Complete all shared purchasing while staying on budget and ensuring the school’s payment methods are being used responsibly and appropriately.
  • Perform all receipt reconciliation on expense reports in a timely manner (within 14 days). 
  • Train new staff members in purchasing, as needed.

Student Records:

  • Support the Academic Lead to create and maintain complete and accurate student files.
  • Process incoming student academic and health records. 
  • Maintain student immunization records and reports.
  • With the Academic Lead, coordinate and send student records for outbound students. 

Calendar & Events:

  • Maintain the School calendar for staff, faculty, students, and parents.
  • Coordinate travel arrangements and professional development opportunities for School faculty and staff.
  • Manage additional school & staff events with the School Director and manage partnership opportunities with outside organizations. 
  • Assist in the planning and implementation of School employee engagement initiatives and employee recognition programs.
  • Support candidate visits.
  • In partnership with the Admissions team, support school Open Houses, new student visits and other Admissions events.

Fundraising:

  • With the Executive Director and fundraising committee, coordinate the KLS Wichita Annual Gala.
  • Process donations in partnership with the School Director, CFO, and fundraising team.

Miscellaneous:

  • Other related job duties, as needed.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES, AND EXPERIENCE INCLUDE BUT ARE NOT LIMITED TO:

  • Bachelor’s degree required.
  • Must have at least 5 to 8 years of operations and technology experience in a school environment is.
  • Prior successful leadership and management experience and a strong track record of results.
  • Toggles easily between working with students, staff, and faculty.
  • Excellent organizational and communication skills.
  • Friendly and able to work well with others in a fast-paced environment.
  • Deep curiosity to understand the underlying needs of staff and students to develop the best solutions.
  • Ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions.
  • Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high levels of responsibility and multiple priorities.
  • Computer and financial literacy.
  • Broad technology and facility management experience.
  • Extensive experience with edtech, Google Workspace Enterprise Management, MacOS, and network management.
  • Strong experience and understanding of HVAC, electrical, plumbing, building access control, and security systems.
  • Ability and willingness to work evenings and weekends as necessary.

PHYSICAL WORK REQUIREMENTS OF THE POSITION:

  • Ability to occasionally lift, carry, push, and pull up to 25 pounds as some regular organizational tasks involve moving desks, chairs, electronics, and other school supplies and equipment, as needed.
  • Must be able to remain in a stationary position at least 50% of the time.
  • Capability of occasionally moving around an office setting to access file cabinets, office machinery, etc.
  • Ability to proficiently and frequently operate a computer and keyboard as well as other office equipment such as calculators, copy machines, printers, and projectors.
  • Consistently practice safe working habits while using school supplies, equipment, and electronics as well as the ability to maintain a safe and hazard-free workstation for yourself and others at the school.
  • Occasionally required to work weekends, nights, or be on-call for events, which are sometimes held outside and require the ability and willingness to work in all weather conditions at any time of the year.
  • Ability to properly communicate information and ideas so other people can understand as well as the ability to ascertain and understand information communicated from others.
