Osborne Association Inc is Hiring a Program Assistant (P/T) Near New York, NY

Description

We currently seek a part-time Program Assistant to join our Harlem office. The part-time Program Assistant will assist with data collection and reporting for program meetings, maintaining inventory for program needs, and working closely with the staff to maintain office flow. They will serve as the primary resource for program staff in providing administrative and general support to the programs and implement administrative systems, procedures, and policies that support program participants and staff. The schedule for this position is Monday - Friday, 20 hours per week. 

Salary Range:  $23.94 - $24.07 per hour 

Requirements

 Essential Duties:

  • Greet individuals who are seeking assistance from Osborne programs
  • Maintain office workflow by implementing administrative systems, procedures, and policies that maximize the efficiency of office services and the quality of work product
  • Streamline the communication process among staff by preparing meeting agenda(s); assist with the maintenance of the unit calendar for workshop schedules
  • Schedule staff for upcoming training 
  • Assist in maintaining inventory and processing payments for vendors 
  • Participate in staff meetings (taking notes and recording)
  • Updating data into ECM, i.e. (Participant incentives)
  • Assist in the upkeep of participant folders for in-house audits
  • Work collectively with the Harlem programs and implementation of special projects or community activities
  • Responsible for assuring that Osborne Association resources are used effectively
  • in-person attendance is required to collaborate with co-workers
  • Perform other duties as assigned

Minimum Qualifications:

  • High School Diploma or equivalent
  • A minimum of two years of administrative experience
  • Prior experience supporting a social service agency in an administrative capacity preferred

Key Competencies:

  • Excellent interpersonal, communication, and problem-solving skills are necessary 
  • Ability to operate office equipment
  • Experience with database management and basic accounting knowledge
  • Strong computer skills including Microsoft and Google Suite 
  • Effective writing and communication skills 
  • Ability to travel locally
