Open Door Mission is Hiring a FT Executive Assistant Near Rochester, NY

Since all our programs are residential, we can't compete with remote work scheduling. We demonstrate

program that provides 8 counseling sessions to each of our employees and their families.
In addition to the normal compensation and benefits, we offer a 6-month retention bonus.

The EA possesses the communication and organization to assist 5 executive leaders in the administrative day to day to include but not limited: phone and email correspondence, calendar management, processing purchases, recording the meeting minutes for leadership and committee meetings, and providing appropriate follow up and assisting executives in maintaining project timelines. The EA will be exposed to sensitive and confidential information, and appropriate reliability and professionalism is required.

DUTIES & RESPONSIBILITIES: Responsibilities divided by support to prospective VP member

Finance

  • Performs invoicing and data entry into QuickBooks
  • Executes purchasing in accordance with department policies with sufficient knowledge of internal controls to escalate purchasing concerns to appropriate personnel.
  • Knowledge of Amazon

Program

  • Monitors VP phone, responding to or delegating calls as needed
  • Monitors VP inbox, responding to emails as needed
  • Collaborates with VPs of Program and HR to ensure collection of training certificates, deadlines for staff review

Executive

  • Monitors CEO phone and inbox, responding to or delegating as needed
  • Tracks and schedules events on calendar, making note of critical deadlines and providing follow up to CEO as needed or requested

Office Operations and General Administration

  • Schedules monthly, quarterly and annual meetings (may coordinate with HR Coordinator if different) - Onboarding, Open Enrollment, Spiritual Formation Committee, Safety Committee, Culture & Wellness Committee.
  • Schedules leadership meetings for VP, Directors, and Management team meetings
  • Records meeting minutes and identifies action items for follow up with responsible party(ies)
  • Maintains project documentation, monitors project progress, and informs VP/Directors on updates project progress
  • Prepares reports as needed or requested for team meetings
  • Operates a multi-line telephone; provides follow up within 24 hours or distributes to appropriate personnel
  • Receives and distributes mail and packages
  • Collaborates with the HR Coordinator in the collection of success stories and corporate announcements for staff newsletter
  • May provide backup administrative assistance in program, development, or operations.

    SKILLS & QUALIFICATIONS:

    • Christian with a passion for restoring hope and changing lives of the homeless, addicted, and mentally ill
    • Excellent critical thinking and problem-solving ability to respond to or delegate incoming calls or emails
    • Demonstrates a positive and welcoming attitude towards staff, clients and visitors
    • Good organizational skills, with regard to tasks, projects, information and people
    • Strong computer literacy proficient and knowledgeable in Microsoft Office Suite, Internet and database
    • Strong verbal and written skills
    • Adaptable to changing needs of a growing environment and in process of relocation
    • Knowledge of Gant Charts and project dashboards
    • Trustworthy, reliable, and personable


    The schedule is flexible with a mix of onsite/remote availability. The agency is 24/7 and our public hours are 9am-5pm; however, most of our executives begin their day early and preference will be given to a candidate with early morning availability.
