POSITION TITLE:
Office Support II
REPORTS TO:

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Complete understanding of complex bookkeeping procedures
Ability to utilize the AS400
Extensive knowledge in utilizing computers and computer programs
Extensive knowledge of office practices and procedures
Ability to promote good relationships internally, with schools and with the public
Ability to effectively use oral or written communications
EDUCATION AND TRAINING:
High School diploma
Minimum of 5 years experience in maintaining budgets/office practices
Extensive experience in an office environment with responsibility for a large variety of complex tasks
TERM OF EMPLOYMENT: 12 months SALARY: Salary Grade 57 FLSA STATUS: Non-Exempt PERFORMANCE RESPONSIBILITIES:
Responsible for preparing and processing requisitions, purchase orders, and contracts. Make sure that all purchasing guidelines are followed prior to orders being placed with vendors.
Responsible for receiving reconciling all invoices according to code in the specific chart of accounts. Contacting vendors as needed to obtain proper documentation in order to get invoices paid in a timely manner.
Responsible for research and follow-up on complaints to ensure resolution with vendors and employees. Make sure that items received damaged or with discrepancies are handled quickly and corrected in a satisfactory manner.
Perform secretarial duties, including but not limited to: typing, telephone communication, setting up files, and record keeping for Program Administrator and the federal projects staff.
Review and distribute incoming correspondence.
Responsible for maintaining records and correspondence for the Title III Department.
Maintain monthly timesheets and mileage reports for all personnel.
Maintain an efficient, positive, professional, and organized work environment.
Assist Program Administrator with correspondence, scheduling appointments, and meeting planning
Perform other duties as assigned by Program Administrator.
PHYSICAL REQUIREMENTS:
Must be able to stand, sit, or walk for prolonged periods of time.
Ability to reach with hands and arms routinely.
Ability to bend, stoop, carry, crawl, push, or pull.
Ability to carry and transport equipment, supplies, and materials
Must be able to lift up to 25 pounds routinely and 50 pounds occasionally.
Must be able to visually and auditorily effectively communicate with staff and students.
Must be able to drive to variety of school sites.
