As our team and business has grown, the demands on a broad spectrum of business areas to solve has grown too. We’re looking for a Business Operations Manager to help us address a diverse array of cross-functional business challenges. You will also be contributing to OneSchema’s success by helping the company’s operations scale, and building seamless processes for new issues as they arise.
This role has a high amount of visibility and works cross-functionally throughout the company. It’s a fast paced environment where you’ll be able to wear a lot of hats and need to meet deadlines by maintaining an organized approach and gaining intuition on how to prioritize and coordinate multiple workstreams.
We have an in-person work culture and this role will be based in our SF HQ office 5x per week. This person will report directly to our Chief Executive Officer (CEO).
People operations & HR:
Purchasing workstation equipment and provisioning accounts for new hires
Coordinating birthday and anniversary celebrations for team members
Researching data on HR policies (e.g. relocation policy, PTO policies)
Lead, drive and execute planning on various team events, socials, offsite meetings, etc.
Schedule and coordinate logistics for special events (both onsite & offsite)
Act as an advocate for promoting and developing OneSchema’s company culture
Finance operations:
Processing payroll for FTEs and contractors, including commission calculations
Paying invoices to OneSchema agencies, lawyers, and other vendors
Issuing invoices for new customers and working with customer success team to ensure invoices are paid in a timely manner
Sales Ops:
Managing RFP process for sales prospect
Creating collateral docs for sales team as needed
Collaborating with sales team to review legal redline requests with contract lawyer
Sales ops projects, e.g. sending annual gifts to customers
Office management:
Managing office supplies and logistics (e.g. mail, packages, office layout)
Coordinating daily lunch ordering for office
Addressing questions regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Provide general support to visitors (e.g. candidates visiting for on-site interviews, advisors, investors)
Act as the point of contact for building management
Calendar management across execs and recruiting:
Coordinating all appointments and meetings for the CEO and CPO, managing conflicts, and working around personal commitments
Scheduling and managing interview processes for candidates to ensure a high quality experience both internally and externally
Field and funnel incoming requests; exercise strong judgment and discretion with highly confidential information
1 years of relevant work experience at a startup -- e.g. operations, direct executive exposure, project management, startup founder, etc.
Experience implementing systems, processes, or programs that increase efficiency
Experience in a highly cross functional role and can clearly describe and work within the organizational dynamics of a fast-growth company
Ability to execute with conviction and good judgment with limited guidance; needs minimal direction in an ambiguous context to take action and then adapt quickly
Extreme attention to detail, organized and responsive
