One Therapy Network is Hiring an Office Administrator Near Colorado, CO

Talk and Play Associates is looking for an Office Administrator to join our team of pediatric clinicians in Colorado Springs. This person will work to support the daily operations of the office. The ideal candidate is a kind, friendly individual with excellent organizational skills, strong attention to detail and the ability to communicate effectively in both written and verbal communications.

Responsibilities:

  • Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
  • Scheduling - Set up intakes, schedule therapy sessions, reschedule cancellations, and coordinate with our back office regarding insurance changes. Adjusting schedules to accommodate clinicians' PTO requests.
  • Invoicing - Send out invoices bi-monthly and reminders for invoices that have not been paid.
  • Bookkeeping - Complete monthly bookkeeping and reconciling of accounts through Quickbooks.
  • Organize internal resources - Maintain processes to keepfiles and office supplies organized and easily accessible.
  • Liaise with visitors - Act as first point of contact for new families. Maintain a warm and welcoming atmosphere for new and returning families of children with disabilities.

Requirements:

  • High school diploma
  • 1-2 years experience as an administrative assistant, secretary or receptionist preferred
  • Strong organizational, communication, and time-management skills
  • Proven ability to work in a fast-paced environment 
  • Cheerful, kind, caring attitude
  • Resourcefulness, creativity, and problem-solving skill set
  • Familiarity with office equipment (i.e. printers, fax machines, projectors)
  • Proficiency in Google Office
  • Familiarity with Quickbooks is a plus
