Oklahoma State University is Hiring a Remote Business Operations Specialist

Fire Protection Publications is a mission-driven, values-based organization dedicated to the production of high-quality educational content for the international community of firefighters and first responders.
The Business Operations Specialist is responsible for personnel-related functions within FPP. They will work independently to complete new hire paperwork and review and approve employee time sheets and leave reports. They will also collaborate within teams, specifically with FPP’s hiring supervisors, when rewriting or creating job descriptions, posting jobs for recruitment on the OSU career website, and onboarding new staff. This position requires the ability to coordinate multiple projects at the same time and prioritize and manage these projects effectively.
The ability to handle confidential information and personnel matters professionally is required.
The successful candidate must be customer service oriented and have the ability to provide excellent customer service with both verbal and written communication skills. Must be adaptable, attentive to details, and possess organizational skills.
Must be familiar and proficient with MS Office suite. Word, Excel and PowerPoint.

This position is based on the Oklahoma State University campus in Stillwater, Oklahoma. It is an office-based position, 8 am – 5 pm Monday – Friday. Remote and hybrid work are not currently an option for this role.

This position requires the physical ability to perform extensive repetitive motions in using a computer and the routine use of other office equipment. Work is typically performed while sitting and does not require heavy lifting.

Education & Experience

Position Qualifications:

Required Qualifications:

HS diploma/GED and five years of experience in customer service/clerical relatable experience, OR an Associate’s degree and 3 years of experience in customer service/clerical relatable experience , OR a Bachelor’s degree and 1 year of experience in customer service/clerical relatable experience.

Completion of Ambassador within two years of hire.

The ability to handle confidential information and personnel matters professionally is required.
Ability to work independently to initiate/coordinate projects, organize and handle multiple tasks simultaneously, and follow through to completion.
Ability to learn and work across multiple systems and platforms. (including Human Resource Information System (Banner), applicant tracking system, position description system, learning management system and more.)
Ability to provide excellent customer service with both verbal and written communication skills.
Must be familiar and proficient with MS Office suite. Word, PowerPoint, Outlook and the ability to establish and maintain spread sheets in order to generate requested reports.
Must be adaptable, attentive to details, and possess organizational skills.
Must possess critical thinking skills to assess situations and problem solve. Anticipating problems and troubleshooting problem areas for a diverse workforce within administration, staff, students, and customers.
Must be able to correctly interpret policies and procedures.

Preferred Qualifications:

Associate degree in Business or related field.

Two years Human Resources experience.

Experience with Human Resource Information systems, payroll and OSU systems.
