The purpose of this position is to bill all insurance plans within timely filing requirements, collection of all outstanding account receivables, posting of cash to balance month end, report all spend downs to Medicaid, submission of hospice notice of elections. Coordinate insurance benefits of multiple payers, monitor financial assessments and arrange payment plans as requested.

What You Should Know About the Patient Accounts Specialist Role: 
  • This is a full-time remote position.
  • Schedule will include Monday - Friday with hours of 8:00am - 5:00pm.

The Patient Accounts Specialist Essential Duties Are:

  • Prepare, update, and submit claims to insurance plans by the 5th business day of the prior month, collect on balances outstanding and maintain current aging of accounts receivables of less than 45 days to meet the expectations of the department and ensure revenue is received timely. 
  • Resolve billing issues of outstanding claims providing information needed such as medical records or denials from other insurance plans responding to all correspondence within two days of receiving requests in order to maintain current aging of accounts receivables.
  • Accurately post cash and balance monies received from insurance plans by the 5th business day of each prior month, track and process all over-payments/under-payments immediately to ensure collection of balances owed/received are precise and appropriate. Always maintain proper payment of all state/federal revenues to ensure the correct rates have been paid. This is a federal regulation that must be followed.
  • Submit notice of elections to Medicare for admissions, benefit certifications, discharges and transfers by submitting either an 81-A/81-C/81-D notice of elections within 5 days. This is a Medicare requirement because hospice is the primary care giver for all care related to the hospice diagnosis and all other care not related is billed appropriately. The specialist must also coordinate benefit periods with other hospice providers for transfers/discharges as needed due to sequential billing requirements with Medicare. 
  • Responsible for closing month end billing cycles, timely submission of claims and balancing month end cash to match bank deposits while meeting department goals of month end processes by the 5th business day of the prior month in order to ensure a constant flow of revenue is maintained.
  • Track and monitor financial activities of all patients with co-pays, deductibles, financial assessments approved by CFO and notification of all spend downs to each county of residence monthly to ensure indigent care is provided to families who may need assistance. Establish payment plans to family who need assistance.
  • Maintain knowledge of current billing requirements and timely filing deadlines for all insurance plans to ensure timely requirements to obtain payments. Maintain knowledge of all applicable federal and state billing regulations and HIPAA compliance of patient information to ensure all Ohio’s Hospice policies and procedures have been followed. 
  • Maximize use of computer, maintain documentation scanning and use of other resources demonstrating the ability to understand and process information in multiple software programs as required by the department.
  • Follows all applicable federal and state regulations, including HIPAA, compliance and employment regulations. Complies with all Ohio’s Hospice policies and procedures.

Patient Accounts Specialist Qualifications:

  • Preferred associate degree (A. A.) or equivalent from two-year college or technical school (or).
  • Two years related experience and/or training; or equivalent combination of education and experience.
  • Understanding of basic math skills to calculate figures and amounts such as discounts, interest, commissions, and percentages.
  • Maintain knowledge of all federal and state regulations, timely filing restrictions of all insurance plans
  • Knowledge of insurance terminology to resolve billing issues and coordination of benefits.
