GENERAL DESCRIPTION

The Criminal Prosecutions Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant that performs routine to complex administrative support or technical program assistance work. Work involves disseminating information, maintaining filing and vehicle maintenance systems, and performing internal administrative support work.

ESSENTIAL POSITION FUNCTIONS

Administrative Assistant II:

  • Performs general office duties such as making travel arrangements for division personnel, prepares travel reimbursement requests, ordering supplies, and performing basic bookkeeping work; responds to inquiries and interprets rules, regulations, policies, and procedure; serves as division inventory liaison or back-up and prepares reports to verify inventory; and serves as division safety officer or back-up and prepares quarterly reports
  • Coordinates and maintains division vehicles with maintenance, inspections, registrations and mileage reporting records; assists administrative and legal staff with special projects; prepares routine and special correspondence, reports, forms, and other documents; and organizes, coordinates, and maintains filing and record-keeping systems
  • Maintains neat appearance of the conference room, copier room, mail area and other division common areas; reports telecommunication work orders and building maintenance needs to proper contacts; compiles and enters data for charts, graphs, databases, summaries, or reports; answers and routes phone calls, takes messages, greets and directs visitors to the appropriate staff; and delivers mail to appropriate boxes
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity

Administrative Assistant III- All of the above functions for an Administrative Assistant II, Plus:

  • May develop training materials; may manage and maintain schedules and travel arrangements for managers, directors, and executives; and may train others
Qualifications


MINIMUM QUALIFICATIONS

Administrative Assistant II:

  • Education: Graduation from high school or equivalent
  • Experience: Two years of full-time experience working in the following (or closely related) fields: full-time administrative support, clerical, or secretarial experience; may substitute sixty credit hours from an accredited college or university on a year-for-year basis
  • Knowledge of office practices and administrative procedures
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%

Administrative Assistant III- All of the above functions for an Administrative Assistant II, Plus:

  • Experience: One additional year of full-time experience working in the following (or closely related) fields: full-time administrative support, clerical, or secretarial experience; may substitute an additional sixty credit hours from an accredited college or university on a year-for-year basis

PREFERRED QUALIFICATIONS

  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: full-time administrative support, clerical, or secretarial experience
  • Experience: in a law office, a travel agency, or a state agency
  • Abilities: to type accurately
