GENERAL DESCRIPTION

The Crime Victim Services Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant that performs routine administrative support for the Central Records section. The position responds to both written and verbal inquiries concerning claim status, payment, and general information about the program. The position assists in complex mail and document imaging operations.

This position may be eligible for telework up to three days per week once trained. Employees must have a secure, dedicated workspace with Internet service, ability to maintain a reliable consistent work schedule, and be available for weekly meetings and group collaboration via Microsoft Teams and other applications during regular business hours.

Flexible work arrangements, to include flexible work schedules and/or telework, may be considered relative to business need after training.

ESSENTIAL POSITION FUNCTIONS

  • Prepares and disseminates information concerning claims status, bill status and general information about the program utilizing the PC and Crime Victims’
  • Management System (CVMS) to retrieve and log information
  • Performs complex research, verifying and indexing on all routine and special correspondence
  • Performs complex preparation, distribution, and research all section records
  • Develops, maintains and coordinates claim files, tracking system and section records
  • Performs complex operations on document imaging system, including scans and performing complex quality assurance of all imaged documents
  • Trains and/or directs administrative support staff in performing related activities
  • Prepares responses for correspondence on no records or maxed claims
  • Identifies problem inquiries and refers them to appropriate section or immediate supervisor
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications


MINIMUM QUALIFICATIONS

  • Education: Graduation from high school or equivalent
  • Experience: Two years of full-time experience working in the following (or closely related) fields: administrative support, customer service, clerical, general office experience; may substitute sixty hours from an accredited college or university
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to type 35 wpm (Typing test required at time of interview)
  • Ability to travel (including overnight travel) up to 5%

PREFERRED QUALIFICATIONS

  • Experience: In document imaging and data entry
  • Other Language: Ability to proficiently read, write, and speak Spanish
