Oakleaf Clinics - Business Office has an exciting opportunity to join our growing team as a Business Office Lead overseeing the Payment Posting Department.

OakLeaf Clinics is dedicated to providing our patients with compassion, trust, and a lifetime of individualized care. Our healthcare team consists of physicians, nurse practitioners, certified nurse midwives, nurses, and medical assistants working in concert with laboratory/imaging services to offer individualized care to the Chippewa Valley.

Position description

The Business Office Lead will directly oversee the customer service department and actively participate with the team in providing exceptional service to our patients. You'll lead your team in providing excellent customer service to all patients in a growing multi-specialty practice setting. You will work closely with the leadership team to develop and implement policies and procedures and manage all daily operational activities within your department.

As a Business Office Lead, you will ensure the highest level of compassionate, patient-centered care is provided to our patients through managing the business office's systems, policies, procedures, and personnel. Analyze, understand, interpret, and communicate key revenue cycle and productivity data to determine current performance and identify improvement areas.

Responsibilities

  • Maintain an approachable and positive attitude interacting with all levels of personnel in a rapidly changing environment
  • Provide patients with compassion and trust while delivering excellent service that aligns with our mission to offer individualized care to the Chippewa Valley
  • Maintain a positive work environment by ensuring employees are held accountable for daily activities, performance, and behavior

  • Promote and encourage personal and professional growth within the customer service team
  • Evaluate customer service staff performance
  • Create and oversee all customer service team goals and metrics
  • Monitor and set metrics for self-pay collections and patient payments
  • Oversee patient fee estimate requests
  • Develop and maintain customer service policies, procedures, and job aids
  • Conduct team meetings, huddles, and one-on-one meetings within the customer service team
  • Collaborate with business office leaders, clinic managers, registration and clinical staff
  • Participate on various committees to provide input from a business office perspective
  • Acquire extensive knowledge of department processes to ensure that department milestones/goals are met and adhere to approved budgets
  • Analyze, understand, interpret, and communicate key productivity data within Epic and Ring Central to determine current performance and identify areas needing improvement
  • Collaborate across the organization to develop, implement, and maintain processes that impact cash and accounts receivables
  • Assist in the recruitment and training of new customer service team members
  • Ensure compliance with the Health Insurance Portability and Accountability Act (HIPAA)
  • Answer incoming customer inquiries and questions regarding provider information
  • Complete data extraction from Epic
  • Assist in special projects

Qualifications

  • Bachelor's degree, preferably in healthcare administration (preferred)
  • Associate degree, preferably in health information technology or medical office specialist (preferred)
  • Prior medical or clinic office experience (required)
  • 3 years of management or leadership experience (required)
  • 4 years of customer service experience (required)
  • Previous experience and understanding of insurance processes in a clinic setting (preferred)
  • Excellent interpersonal and customer service skills
  • Comfortable working in a flexible team environment
  • Ability to multi-task, handle a high volume of calls, and prioritize daily tasks
  • Detail-oriented and an understanding of basic billing functions
  • Experience working in Epic (preferred)
  • Must have excellent verbal and written communication skills
  • Ability to organize and interpret data

While performing the duties of this job, the employee regularly works in an office setting.

Physical demands

An employee must meet the physical demands described here to perform the essential functions of this job successfully. Major activities of this job include sitting or standing for long periods and light physical effort performed on a level surface. The office involves carrying, lifting, kneeling, bending, reaching, and squatting. Use a computer and telephone and employ writing and organizational skills. Manual dexterity, mobility, and good vision, including near acuity, depth perception, and accommodation, are necessary for technical work.
