Oakleaf Clinics - Business Office has an exciting opportunity to join our growing team as a billing representative. We seek a highly motivated, reliable, and dependable individual to join our team. This individual must be able to work productively, independently, and effectively.

OakLeaf Clinics is dedicated to providing our patients with compassion, trust, and a lifetime of individualized care. Our healthcare team consists of physicians, nurse practitioners, physician assistants, dietitians, nurses, respiratory therapists, and medical assistants working in concert with laboratory/imaging services to offer individualized care to the Chippewa Valley.

Position description

As a billing representative, you are responsible for working the lifecycle of a claim to the highest level and ensuring that all patient information is accurate and up to date within our EHR system. This includes but is not limited to preparing, researching, following up on unpaid claims, processing denials, and researching payer trends. You will review under and overpayments and provide expertise to clients about insurance filing requirements.

Responsibilities

  • Receive notices of claim rejections/denials, clearinghouse, and payer portals
  • Track and resolve issues to ensure claim payments are accurate and timely, including sorting, scanning, faxing, and loading records on portals
  • Issue electronic and paper billing to ensure the appropriate processing by payers
  • Work with internal and external customers to maintain records to facilitate billing practices accurately, including insurance requirements and payer trends
  • Confirm and validate current insurance coverage.
  • Follow up on unpaid claims, process denials, and research payer trends
  • Review under and overpayments using our clearinghouse to find variances, work claim source rejections, and send overpayment and underpayment appeals to insurance
  • Perform troubleshooting for billing and prior authorization errors
  • Work with other departments in the revenue cycle, including customer service, coding, payment posting, credentialing, and prior authorization to complete the billing process
  • Notify the supervisor of any late or overdue claims, insurance issues, or changes
  • Maintain an approachable and positive attitude when interacting with all levels of personnel in a rapidly changing environment
  • Perform other duties as assigned

Qualifications

  • Previous experience in a healthcare environment (required)
  • Medical coding or billing experience (preferred)
  • Possess a thorough understanding of claims management, payer denials, and remittance codes
  • Experience and extensive knowledge of insurance payer rules
  • Experience working in Epic (preferred)
  • Excellent interpersonal skills and comfortable working in a flexible team environment
  • Ability to multi-task quickly and effectively in a fast-paced environment
  • Excellent verbal and written communication skills
  • Exceptional computer skills and a strong medical terminology background

While performing the duties of this job, the employee regularly works in an office setting.

The following physical demands are representative of those that an employee must meet to perform the essential functions of this job successfully. Major activities of this job include sitting or standing for long periods and light physical effort performed on a level surface. The office involves carrying, lifting, kneeling, bending, reaching, and squatting. Use a computer and telephone and employ writing and organizational skills. Manual dexterity, mobility, and good vision, including near acuity, depth perception, and accommodation, are necessary for technical work.
