Overview

The Exhibitor Services Manager is responsible for assisting the Director of Events in overseeing all aspects of the events taking place in the Palm Beach County Convention Center with an emphasis on managing Exhibitor Services. This position supports online and in-person ordering of event utilities, equipment, technical services, food and beverage and guest services staff oversight. The Exhibitor Services Manager also plans and manages selected events; conducts administrative support; supervises the work of facility staff; serves as liaison between facility users and facility staff, service providers and other stakeholders. Occasionally, this position may also coordinate and manage small events.

This role will pays an Salary wage of $42,000, to $52,000.

About the Venue

This position is based at the Palm Beach County Convention Center which opened its doors in 2004. This beautiful 350,000 square-foot center has established itself as the premier boutique’ meeting destination in South Florida and one of the top convention centers in the country; hosting a diverse array of conventions, trade shows/consumer shows, conferences, social events, and meetings located in the Heart of Downtown West Palm Beach. The convention center is an architectural masterpiece designed with the look and feel of a luxurious cruise ship. It features a 100,000 square-foot exhibit hall, a 22,000 sq. ft. ballroom and 21,000 sq. ft. of flexible breakout space divisible into 19 rooms with various room size options and endless set-up possibilities, the Palm Beach County Convention Center is the ideal event and meeting destination. A connected 400 room Hilton Hotel was opened in 2016 and a new 8-Level 2,600 spot parking garage was added in 2017. http://www.pbconventioncenter.com/

Responsibilities

EXHIBITOR SERVICES

  • Process and track all Exhibitor Services orders using Microsoft Office and Ungerboeck Software.
  • Manage and structure the daily operations of Exhibitor Services.
  • Acting as Event Manager when necessary.
  • Responsible for accurately processing all service orders, credit cards and other payment formats and maintaining accurate financial records and settlement procedures.
  • Create, organize and customize Exhibitor Packets for required service forms.
  • Mobilize staff to provide show site support, audit show floor utility use and work the service desk during event move-in, event show hours and event move-out.
  • Proactively provide support to Exhibitors and Decorators by addressing questions, handling complaints, and provide assistance with all utility orders.
  • Process exhibitor reports and show feedback at the conclusion of the event.
  • Plan, service and execute on the use of utilities, equipment, freight and other exhibitor services and provide updated exhibitor requests/work orders to the appropriate department for installation.
  • Support the Event Services Department, Operations Department, Decorators & Show Management, Director of Events and other staff with Exhibitor Services information as required.

EVENT SERVICES

  • Responsible for planning, managing, and facilitating the logistics of assigned events
    • Act as primary liaison for building with all parties and departments involved in the event.
    • Primary Event Categories: 1) Banquets; 2) County Events; 3) Small 1-Day Meetings. 
  • Manage the process of venue wide communication in order to provide clear, concise, and timely communication with staff of all requirements necessary for events by preparing and distributing detailed event resumes, event estimates/invoices, diagrams, event staffing requirements, set-up requirements
  • Responsibil for providing general instructions and supporting documentation for each event using industry specific software. Communicate changes before and during events.
  • Provide excellent customer service assistance to exhibitors, guests, and internal clients.
  • Attend various weekly scheduled building meetings.
  • Serve as Manager on Duty (MOD) for selected events.
  • Perform other duties and responsibilities as assigned.

Qualifications

  • Degree from an institution of Higher Education.
  • Min 3 years previous experience guest services/hospitality required. Experience with event management in a public assembly facility, convention center, arena, hotel, or similar facility preferred.
  • Ability to work a flexible schedule including early mornings, days, evenings, weekends, holidays, extended (long) work days and extended numbers of days as determined by event needs.
  • Experience with tradeshow and consumer show exhibitor services required.
  • Knowledge of operational characteristics of event management, including, but not limited to, needs of exhibitors at convention centers and customer service practices.
  • Knowledge of methods, equipment, materials and/or other systems as they apply to venue events including, but not limited to basic principles of electric, water and gas as it applies to exhibitor services.
  • Basic mathematical skills.
  • Strong written and oral communication skills.
  • Basic computer proficiency and knowledge of Microsoft Office programs.
  • Familiarity with contract terminology, highly preferred
  • Familiarity with terminology used in entertainment and convention settings.
  • Excellent organizational, planning and interpersonal skills.
  • Professional presentation, appearance and work ethic.

Skills and Abilities:

  • Must be proficient in all Microsoft Offices programs
  • Prior experience with Ungerboeck Software.
  • Ability to follow both written and oral direction with minimal continuous supervision.
  • Highly motivated, self-directed, personable, positive and hard working.
  • Detailed oriented and able to perform independently with minimal supervision.
  • Strong communication skills and works well in a team-oriented environment.
  • Ability to undertake and complete multiple tasks.
  • Maintain an effective working relationship with clients, employees, exhibitors, patron and others encountered in the course of employment.
  • Organize and prioritize work to meet deadlines. Work effectively under pressure and/or stringent schedule and produce accurate results.
