NRP is Hiring an Admin Assistant Near Herndon, VA

Job Description

Summary:

Assist in managing and administering the day-to-day operations of the Community Association business. Maintain communications with Board of Directors, Association Manager, Association Staff and homeowners.

Tasks and Responsibilities include but not limited to the following:

  • Answer phone calls, messages, and emails promptly; within a few hours but never to exceed 24-48 hours.

·When necessary act in the place of the Community Manager in his/her absence

·Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association

·Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board

·Have general knowledge and understanding of building systems and components

·Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices

  • Provide administrative support to General Managers and Property Managers.
  • Work closely with city and federal agents and maintain knowledge of various government agencies and procedures.
  • Communicate effectively with residents and vendors to help solve problems.
  • Consistently maintain knowledge and changes of the property.
  • Maintain the accuracy of building and tenant files to ensure accurate records are kept up to date.
  • Ensure all maintenance repairs are handled satisfactorily.
  • Prepare and distribute memos in a friendly and helpful manner.
  • Schedule appointments for managing staff.
  • Open and sort all incoming mail.
  • Filing, copying and other administrative tasks.
  • Practice and adhere to NRP service standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.

Skills/Experience Requirements:

·Associate Degree or higher perferred

·2 Years experience in Association Management preferred

·Demonstrates advanced knowledge of Microsoft Office: Excel, Word

·Effective written and verbal communication skills.

·Action and results-oriented, enthusiastic.

·Excellent customer service skills and ability to multi-task in a fast-paced environment.

·Experience with a high work load volume while also knowing when to ask for help and ask questions when the information is unfamiliar.

·Strong organizational and communication skills is a must.

·A high level of energy and a strong bias to service excellence and getting things done with a sense of urgency.

·Possesses personal and professional integrity.

·Ability to work well in a team environment as well as independently.

·Diligent and self-motivated.

·A self-starter who leads by example and who is respected by all levels of employees.
