Northern Hills Training Center is Hiring an Executive Assistant - (EA) Near Spearfish, SD

Position: Executive Assistant (EA)

Program Area: Administration

Position Opens:  05/13/2024

Position Description: The position focuses on assisting NHTC’s CEO and other leadership staff, to complete agency functions. This position will handle a mixture of paperwork, reporting, recording, ordering, form filling/submission, and will require a high degree of computer skills. The Executive Assistant will also support the flow of guest following security protocols, compile paperwork, review, and create reports. This position will file/scan/print, answer phone calls and direct calls, make phone calls, manage mail services, and perform other duties as assigned.

Job Duties Include:

  • Ability to effectively communicate (written and verbal) in a clear and concise manner
  • Demonstrate a positive, solution-focused approach to working with employees and members of the public
  • Ensures all guests and visitors are managed appropriately, to ensuring safety and confidentiality
  • Organize and prepare materials for meetings
  • Attend meetings, take minutes, ensure follow up
  • Organize and maintain files, records, and documents
  • Schedule appointments, meetings, and other events
  • Organize and coordinate events, both internal and external
  • Conduct basic inquiries on specific topics as requested
  • Analyze information and summarize
  • Use software and other tools proficiently for document creation, record keeping, data analysis, and presentations
  • Manage communications both internal and external, including operate a business phone system with the ability to forward messages, transfer calls, page, etc.
  • Manage travel arrangements
  • Complete other duties as assigned

Skills and Abilities

Education Required: High school diploma or GED

Experience: Prior office assistant/office manager experience preferred, but willing to train the right candidate

Technology: Proficient in Microsoft suite applications including Word, Excel, PPT, Outlook and other

word processing tools.

Pay Rate: $18.00 - $20.00

Hours: Monday-Friday (Summer Hours: Monday-Thursday 7:30 AM-4:30 PM, and 7:30 AM - 11:30 AM on Friday)
