Job Description:

Scheduling Specialist, Office of the Registrar

Danvers Campus. Evenings, Saturdays and Remote work as needed.

MCCC Unit Position, Grade 2

12 month benefited position

SALARY:Anticipated starting salary is $41,984 - $54,906. Actual salary will be commensurate with education and experience in accordance with the MCCC/MTA collective bargaining agreement.

GENERAL STATEMENT OF DUTIES:

Under general supervision, the Staff Assistant assists in conducting Degree Audit and Transfer Evaluation, in addition to providing general functions in the Office of the Registrar. The Staff Assistant is responsible for implementing work activities, preparing/processing documentation, answering questions, providing and distributing information to various NSCC constituencies, and maintaining records. Performs related work as directed.

DUTIES AND RESPONSIBILITIES:

  • Serves as Office of the Registrar representative in Danvers One-Stop office. Maintains first-point-of-contact hours (in-person and/or virtual) to deliver general services to students, faculty, staff, and the public.
  • Processes Office of the Registrar forms and ensures accuracy.
  • Responds to in-person, virtual, and phone inquiries.
  • Provides information regarding FERPA procedures and compliance to students. Enforces FERPA regulations and reports violations to the Registrar.
  • Issues official transcripts.
  • For students who withdraw from the college for a semester, posts change of status and W grades.
  • Update student records using Student Financial Services F Report for Last Date of Attendance
  • Coordinates enrollment management for Early College programs. Processes registration and transcript disbursement to home high schools.
  • Coordinates with other NECCUM institutions for student registration. Research equivalency for requested coursework. Monitors NSCC student eligibility for cross-registered courses, and informs students of approval from partner schools.
  • Processes NECCUM enrollment for visiting students. Monitors student progress and enters grades. Remits NSCC transcripts of visiting students to home school.
  • Processes curriculum waivers. Stores course substitutions in SIS and notifies student and advisor of approval. Applies approved blanket waivers as appropriate.
  • During peak periods, provides related task support to Registrar staff.
  • Responsible for planning and construction of academic course schedules. Prepares a student-centered schedule using available electronic tools.
  • Coordinates with department chairs, division deans to optimize space use and align academic needs with space availability.
  • Monitors reports to manage second accuracy, provide updates, and plan for future offerings. Identifies system errors and resolves them.
  • Assist with troubleshooting room conflicts, teaching conflicts, and space management issues.
  • Elevates structural and systemic scheduling challenges to the Registrar for resolution.
  • Confers with stakeholders across the college to support scheduling for Early College courses.
  • Creates and publishes final exam schedule in coordination with area Deans.
  • Provides written documentation and training of policies and procedures for the Office of the Registrar. Maintains internal Standard Operating Procedure archive and provides periodic updates for Office of the Registrar staff reference.

SUPERVISION RECEIVED:Reports to the Registrar

Requirements:

  • Bachelor's degree in Education, Psychology, Computer Science, or related field; with 1 year experience and/or training involving college registration, academic advisement, administrative work in an academic environment, general office administration, or personal computer operations; or an equivalent combination of education, training, and experience.
  • Excellent verbal and written communication skills.
  • Must be able to use various electronic platforms to communicate, assist and evaluate students.
  • Must have the ability to work some evening and Saturday hours as needed
  • Ability to work effectively within a fast-paced, rapidly growing, intense, and multifunctional office environment.
  • Strong organizational and analytical skills.
  • Ability to commute to any NSCC campus for meetings, programs and events.
  • Successful experience interacting with culturally diverse populations.
  • Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.

Preferred Qualifications:

  • Working knowledge of Student Information Systems desired. Knowledge of Banner preferred
  • Strong knowledge of the community college system working with individuals of diverse backgrounds.
  • Bilingual Spanish is preferred.
